Administrative Assistant, Partnership Marketing

OverviewThe administrative assistant will support the day-to-day operations of the Partnership Marketing Department.

Proof of Covid vaccination required.

Responsibilities Support Managing Director, Corporate Partnerships with scheduling of internal and external meetings, travel arrangements, expense reports.

Support administrative duties for (3) Directors, Partnership Marketing on an as needed basis.

Maintain invoicing schedule and initiate invoice requests for sponsors and vendors Track department budgets and reconcile against monthly reports Maintain inventory and ordering of office supplies Track and maintain department attendance records.Generate reports for H.R.

Update contact database Access ticket management system to generate reports and submit purchase requests Create and modify PowerPoint, Word and Excel and Google based documents Perform general administrative duties to include but not limited to answering phone calls, photocopying, emailing, and bulk mailings Maintain electronic filing system Manage executive expense accounts Book executive travel Set up and coordinate meetings and conferences On-site work during US Open Tennis Championships QualificationsThe ideal candidate for this position must be able to communicate effectively in both oral and written form; have excellent organizational skills; be capable of managing multiple projects simultaneously; produce company documents exactly as specified and generally manage the department’s day-to-day administration duties and maintain confidentiality.Knowledge and Skill Requirements: Excellent communication skills, both oral and written Excellent working knowledge of Google Suite and Microsoft Office programs, specifically Microsoft Word, PowerPoint, Excel, Outlook and Experience working with Arctics or similar ticket management system Basic finance practices related to budgets and invoicing processes Must be available to work every day during US Open, including weekends Live event experience a plus Position is considered Hybrid/Flex.

It allows for onsite and remote work.

It is not 100% remote.

Salary based on experience.
