Administrative Assistant III, Cardiomyopathy

Responsibilities

Incumbent coordinatesnew referral for heart transplant evaluation, either as an inpatient oroutpatient basis.  The CardiomyopathyAAIII position entails providing information to prospective patients and theirreferring physicians, arranging consultations, diagnostic procedures, andcoordinating follow up appointments.  This position involves the communication and coordination of patientcare with heart failure nurse specialist, transplant cardiologist, inpatientteam members, heart transplant nurse coordinators, cardiac surgeons, bedcontrol, admissions, case managers, and utilization review.   Responsibilities involve assisting theCardiomyopathy Administrative Supervisor with obtaining insuranceauthorizations and working with other administrative team members to facilitatethe complex transplant evaluation process.  Duties to include entering patients into the heart transplant database,maintaining the registry of referring physicians, facilitating communicationwith referring physicians of diagnostic testing and evaluation status, andtriaging phone calls.  Incumbent is alsoresponsible to type and proofread correspondence. Excellent written andcommunications skills.  Strongorganizational skills and ability to operate efficiently in an environment offrequent interruptions/distractions.

 Supervisor isavailable to assist with non- routine problems.  The incumbent is expected to exercise independent skills and judgementin providing information, scheduling appointments and admissions, adjust forchanges in scheduling appointments and admissions, adjust for changes inschedule and in dealing with high volume, complex, high risk patient activity.  

Qualifications

Demonstratedinterpersonal skills in interacting with persons of various social, cultural  economic, and educational background for thepurpose of arranging consultations and hospital admissions.

Oralcommunication skills sufficient to obtain and relate information clearly andconcisely.

Organizationalskills in coordinating varied activities within the hospital and community.

Demonstratedability to interact in a calm and professional manner with patients and todisplay patience and diplomacy in dealing with physicians and patients frommany diverse backgrounds.

Problemsolving skills sufficient to anticipate potential scheduling problems andability to devise and suggest alternate approaches to dealing with conflictingdemands.

Abilityto handle several different phone calls at once, coordinate changes inappointments and schedules by doctors and patients on very short notice.

Workingknowledge of working with physicians and patients in a large multi-physiciangroup in a front office setting similar to private practice.

Abilityto work in a small area with other individuals and in an atmosphere of frequentinterruptions.

Skillsin recognizing an emergency situation and taking appropriate action.

Knowledgeof the Medical Center and various labs.

Workingknowledge of computers, using Microsoft Office programs, such as Word, Excel,Outlook, etc. and Epic CareConnect systems.

Knowledgeof Transplant database management, Hospital and Scheduling programs.

Knowledgeof medical terminology, preferably cardiovascular  terminology
