Administrative Assistant I

Overview: Provides simple administrative support in a variety of functions to an individual, team, department, or other group in an organization.

Collects and analyzes data and prepares and distributes relevant materials.

Responds to or routes routine inquiries from external or internal sources with standard correspondence or other messaging.

Schedules and coordinates meetings, travel, and other group activities.

Responsibilities: Provides administrative support and assists with the day-to-day departmental activities; orders office supplies, processes purchase requisitions, prepares general correspondence; maintains files and tracks business expenses; maintains time and attendance records and submits required information to payroll; distributes mail.

(20%) Coordinates meetings and correspondence to ensure accurate exchange of all relevant information.

(15%) Manages calendar, including travel arrangements.

(15%) Coordinates department and leadership meetings including designing presentations, planning meeting site and venue, and all logistics.

(10%) Collects, understands, and interprets data needed to prepare a wide variety of reports.

(10%) Builds and maintains professional relationships with all levels of organizational authority, including AAA National and other AAA Clubs; greets visitors and fellow employees to the departments; delivers Five Diamond Service during all transactions.

(10%) Prioritizes conflicting needs; resolves issues expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

(10%) Maintains inventory of department supplies; performs a variety of miscellaneous clerical duties, including photocopying, filing, etc.

Receives and responds to correspondence.

Receives and directs visitors.

Schedules meetings, may maintain department or supervisor calendar.

(10%) Other duties may be assigned.

Qualifications: Education/Licenses/Certifications: High School diploma or GED required Associates degree preferred Experience: 1 year Administrative support experience required 1 year Customer service experience required Skills & Abilities: Ability to think, act and be safe.
