Administrative Assistant

Join our team! Manufacturing company of Metal Components seeks Administrative Assistant.

Summary: The purpose of the Customer Service Administrator is to maintain customer

relationships and provide administrative assistance to the sales, accounting and production

departments. To achieve these goals the position has the following duties and responsibilities

to be performed personally:

Duties and Responsibilities:

Sales administration

Communication with existing customers to act as liaison for existing sales.

Responsible for sales order processing including checking vendor references and

credit history.

Organize documentation for, and participate in, the weekly production meeting

including generation of sales order and open A/R reports.

Production administration

Co-ordinate weekly payroll of both full time and temporary employees from

outside agencies.

Purchasing of consumables (tooling, office supplies, outside services etc)

including generation of purchase orders and setting up of vendor accounts.

Ship parts including generation of packing lists, all shipping labels and required

supporting documentation.

Accounting administration

Perform daily accounts receivable/accounts payable invoicing.

Assist with past due invoice collections.

Strong organizational skills including maintaining both electronically stored and

hardcopy information systems.

Computer Skills

Must be proficient in Microsoft Office (Outlook, Word, Excel).

Communication Skills

Must possess excellent communication skills, both written and verbal. The

position is required to be an effective communicator both internally and

externally. Interacting amicably with wide range of personalities to develop

sales, customer relationships and sponsor customers’ needs internally is crucial.

Qualifications – Education and experience:

High school diploma.
