The company is looking to add an Executive Assistant to help the team grow.What you will be doingThe Investment Operations Associate will provide an array of responsibilities for both RIA Portfolio Administration activities and Broker/Dealer Securities Operations activities.
These responsibilities include but are not limited to certain day-to-day operational activities as well as portfolio reporting activities.
These activities include:Portfolio Administration ActivitiesThe establishment and maintenance of accounts, security information and data necessary for trading, reporting and billing purposes, daily management and reconciliation of custodial dataManual reconciliation of additional data as required (private investment information, cost basis, DVP accounts, etc.)Analysis, calculation and auditing of performance and the management of all processes necessary to maintain and produce required data/reportingWebsite portal administration and trouble shootingSystems Support & Project CoordinationIdentify and develop plans to integrate technology and automation into the portfolio administration and operations/trading systemsProvide systems administration and support as assignedCoordination of, participation in Firm and/or interdepartmental projects, initiatives, and on-going activities as assigned or as issues ariseResponsibilities include but are not limited to issue identification and resolution, project/initiative business analysis, scoping, tracking and providing status reports as well as timeline and deliverable management and execution and completion of required tasks/activities as identified and requiredService, Support & Other Firm Assignments and ResponsibilitiesProvides operational expertise and support to advisory teams, other internal departments and the client base/intermediaries by providing reporting or information, responding to inquiries, conducting research, completing service requests and providing guidance and technical direction.Completion of assigned activities/projects as necessary to ensure redundancy and the timely and accurate completion of all department deliverables.Proactive identification of opportunities to improve service, reduce errors, increase efficiency and address issues as they ariseThe PersonThe ideal candidate should possess strong communication skills, professionalism, a focus on client impact, collaboration skills, and a respectful and productive attitude.
They will be flexible and possess strong judgement, time management, attention to detail, and the ability to identify appropriate resources and escalation points, as necessary to meet department objectives and commitments.What you needBachelor’s degree or equivalent experience1-2 years related experience and/or training or an equivalent combination of education and experience3+ years of experience in a similar day to day operations role with an investment management firm or as a broker/dealer in securities operationsComfortable working in a high volume and be hyper efficientExperience with a portfolio accounting software (Advent or other) and/or clearing firm processing (Pershing or other) is a plusStrong Technical skills with Microsoft Office Suite (Excel, Word, Outlook) and data
