The company is looking to add an Executive Assistant to help the team grow.The RoleWhat you will doThis role will provide executive support a high performing advisor team. Duties require strong organizational skills, communication skills (both written and verbal) and the ability to work quickly, proactively and positively with employees at all levels in the company. Being able to fully embrace the company’s vision and culture are vital to success.Manage client meetings to include scheduling, attendance during engagements and assurance of execution for follow up action itemsTrack expenses and file expense reportsCoordinate business travel with full accommodationsMonitor and organize email correspondenceWork with IT support to solve complex issues when neededManage calendars to ensure adequate planningTranscribe written documents to electronic formats; manage filingPrepare agendas and offsite meetings for Hightower Advisor CouncilWork with the Bel Air team to support administrative needs of Bel Air AdvisorsMay need to coordinate some personal matters as neededCoordinate medical and dental appointmentsSchedule and manage appointments and projects for all personal and business interestsManage/complete personal errands as requestedCoordinate with tax, legal and professional advisors as necessaryCoordination and execution of holiday gifts, cards, etc.What you needBachelor’s degree or equivalent experienceExperience in an administrative or similar roleTravel experience required (Private and Commercial air, hotel, car, drivers, etc.)Strong attention to detail but able to see big pictureFlexible schedule and availability outside of normal work hoursSuperior interpersonal skills to handle sensitive and confidential situationsDemonstrated ability to juggle multiple competing tasks and demandsReliable, dependable, trustworthy and discreetAbility to take initiative and execute the tasks that need to be completedTech-savvy and comfortable using multiple online toolsProfessional, composed and diplomatic, especially amidst challenging or stressful engagementsIdeal CandidateWe are looking for someone who is smart, reliable, flexible, self-sufficient and is willing to be accountable for running the daily functions of a busy executive, professionally and personally, as well as working with a team.This person is a proactive, can-do individual with a mature outlook and possesses the ability to juggle competing priorities with calm, grace and a friendly sense of humor.
