Summary Of Functions The role of the Accounting Associate
– Level One is to perform accounts payable accounting functions including receiving and matching invoices, account coding, preparation of disbursements and accounts payable related record keeping and any other duties assigned to s/he by the Controller.

Essential Duties And Responsibilities The essential duties and responsibilities of the Accounting Associate
– Level One may include but are not limited to the following: Receives and processes vendor invoices and internal check requests; maintains open files for purchase orders, packing/receiving slips and matches to invoices.

Verifies invoices for quantity, unit pricing, extensions and applicable discounts.

Obtains approval from appropriate personnel for payment of miscellaneous invoices.

Codes invoices with accounting account numbers per distribution in the general ledger; determines dates for invoices to be paid; inputs invoices into computerized accounts payable system using proper class coding procedures and job coding, as applicable.

Maintains alphabetical open invoice file for unpaid invoices.

Reviews invoices scheduled and special check requests for payment weekly.

Prints checks, prepares and routes for signatures per check signing authority.

Attaches check stubs to original invoices and files in permanent records.

Prints, verifies and maintains accounts payable open/aging reports, disbursement reports and journals.

Receives and answers phone calls and emails from vendors or other departments regarding payment status requests.

Prints the unbilled job costs report monthly containing the items billed through the customer job coding during A/P input.

Creates invoices for inter-company billing as necessary.

Processes all escrow release requests and escrow deposits weekly.

Updates the escrow cards, enters and prints the checks, disburses per request form, files escrow cards and check requests accordingly.

Deposits are entered in to the computerized accounting system and forwarded as appropriate.

Processes year end 1099 vendor payments, including all necessary reports, verification of information, printing and submission of the Federal 1099’s.

Processes incoming and outgoing wires.

Performs any other duties as requested by the Controller.

Supervisory Responsibilities This job has no supervisory responsibilities.

Education And/or Experience Bachelor’s degree in Accounting required.

1-2 years of Accounting Experience preferred.

Language Skills Ability to read, analyze, and interpret general business documents.

Ability to write reports and business correspondence.

Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Computer Skills To perform this job successfully, an individual should have knowledge of Microsoft Office; a fax machine; a copier/scanning machine; and a multi-line telephone.

Additionally, the individual should exhibit proficiency in accounting software programs and spreadsheet applications Other Skills And Abilities Ability to multi-task.

High Standard of organization and attention to detail.

Ability to work under stress with time deadlines.

Good communication skills.

Ability to work well within a matrixed team structure.
