Position Summary: We are currently seeking a highly skilled and dedicated professional to fill the position of Accounting Manager. In this role, you will play a pivotal part in our organization by diligently developing and upholding accounting principles, practices, and procedures. The Accounting Manager works closely with partners, executive leadership, supervisors, staff, and more to facilitate completion of all accounting engagements. Reporting to the Controller, the Accounting Manager – General Services position includes oversight of the accounts payable and accounting departments. As the Accounting Manager, you will address many accounting activities, including general ledger preparation, financial reporting, year-end audit preparation, and support of budget and forecast activities. Your position will be solely responsible for the financial aspects of the APS Membership, Meetings and Development departments, including developing and maintaining accounting principles, practices, and procedures to ensure accurate and timely financial statements. This role also supports the accounts receivable function. Your primary objective will be to guarantee the precision and timeliness of our financial statements. This includes general ledger preparation, financial reporting, thorough year-end audit preparation, and invaluable assistance with budgeting and forecasting activities. Is This You: Oversees all financial aspects of APS’ Prizes & Awards, Board designated, and Endowment funds to ensure accuracy and compliance Responsible for all financial aspects of Membership, Meetings, and Development departments and serves as a stakeholder engagement manager with those respective departments Oversees the selection, implementation, and adoption of third-party Accounts Payable automation tools Oversees continuous improvement of the accounts payable function Serves as system owner and manages all financial components of Salesforce Nimble AMS Serves as system owner and manages all financial components of APS’ corporate credit card management system, including implementation of a new platform for credit card and expense reporting Oversees and leads the monthly close schedule Supports the financial statement audit Supports the Controller in the preparation and review of the consolidated financial statements including: Documents and maintains internal controls Maintains aspects of the general ledger system Provides monthly, quarterly and year-end analyses Researches accounting issues for compliance with GAAP Prepares and reviews appropriate general ledger entries and reconciliations Leads the preparation process for tax and other compliance reporting including state and local tax and registration filings, annual Form 1099-NEC and MISC reporting, unclaimed property reporting and quarterly lobbying report Serves as a liaison for all Unit Secretary/Treasurers and supports Unit financial reporting Special projects and ad hoc reports as requested by upper management Carries out other functions as assigned by the Controller or CFOO Hiring, training and supervising accounting staff Education: Bachelor’s degree in Finance, Accounting, or equivalent combination of education and experience Certified public Accountant (CPA) or Certified Management Accountant (CMA) certification preferred Experience, Knowledge, Skills, and Abilities: Minimum of 8 years of progressive accounting experience desired Experience with management responsibilities required Fundamental knowledge of GAAP Intermediate Excel skills including pivot tables, VLOOKUP, SUMIF Financial reporting experience, including troubleshooting and revising financial reports Excellent management skills and attention to detail are mandatory Staff management skills in form of training, assigning, monitoring, and communicating job expectations Project management skills in form of meeting finance calendar deadlines, completing action plans, and implementing procedures to streamline for an efficient departmental workflow Previous experience as an Accounting Manager in a medium to large size, complex and dynamic non-profit setting preferred Excellent written and verbal communication skills Strong analytical skills Experience in Infor CloudSuite ERP system a plus Experience in Salesforce and Nimble AMS a plus Ability to work well with interdepartmental teams as well as independently Must be a self-starter and able to perform under general direction Travel: The position requires in-person meetings with staff as well as periodic travel to attend meetings and events as part of its core responsibilities, as well as additional travel as assigned. Position may require some business travel to office and to attend scientific meetings and events as directed by supervisor. Work Environment: Our physical offices are located in Long Island, NY, Washington, D.C and College Park, MD. We are operational in most US states. While most duties can be conducted remotely, all positions require periodic in-person work at the assigned physical location and periodic travel to other APS locations, meetings and events as assigned by your Supervisor. The American Physical Society allows flexible work hours, responsiveness is required however during the core 9 am to 5 pm Eastern Standard Time workday.
