Primary Responsibility / Summary

Performs a variety of administrative and program specific tasks to support the assigned department/program needs within the Workforce & Career Development (WCD) division.


Essential Duties & Responsibilities

1. Coordinates and maintains comprehensive calendaring, scheduling, and timekeeping for assigned program staff and participants.

2. Sets up and supports meetings by providing appropriate collateral and services.

3. Coordinates and processes the intake and distribution of information on new clients referred to the organization; logs incoming referral packs, requests additional information from referral sources and distributes completed packets to the appropriate program staff.

4. Inputs client information into data systems, including but not limited to Cal-Jobs, Dayforce, Launch Pad, Performance Management Tracking, etc.

5. Produces correspondence and reports and reconciles time records.

6. Maintains upkeep of client files.

7. Orders requested office supplies and manages total supply costs and inventory according to guidelines.

8. Provides customer service to varied levels of employees and external stakeholders and elevates issues as appropriate.

9. Maintains confidentiality of sensitive and proprietary information.

10. Provides administrative/reception coverage as required.

11. Other duties and special projects as assigned.

Education & Experience

• High school diploma or general education degree (GED) required.

• 2 years of office/clerical experience.

• Strong interpersonal communication skills; possess abilities to work with all levels of employees.

• Some experience working with diverse populations including those with developmental disabilities preferred.

• Non-profit experience preferred.

• Team player.

• Multi-tasker; well organized.

• Knowledge of ADA helpful

• Shift flexibility and overtime when needed.

• Ability to work with minimal supervision.

• Bi-lingual fluency (e.g., English/ASL, English/Spanish, etc.) and ability understand another culture as required by the program or local community highly desired.


Other Qualifications

• 60 wpm, 10 key touch.

• Possesses a valid driver’s license and state-required auto insurance.

• This position may require some local travel.

• Ability to handle confidential information.

• Punctual and dependable attendance.

• Free from alcohol and drug abuse.

• Understands the basic philosophy of Goodwill and participates fully in carrying out its mission.
