The role provides high level confidential executive, administrative and coordination support to the Senior Leadership within the organization.
Successful candidates will have 4 -7 years of experience supporting multiple Senior Leaders, have exceptional verbal and written communication, interpersonal, organizational, customer service, and teamwork skills.
We are looking for a proactive, self-starter who loves to take care of things without being asked.

Ideal Candidate Profile Coordination and Support, Sales and Operations
– Prior experience coordinating large-scale meetings and conferences for Sales and Operations, creating, updating, and editing meeting and/or conference materials (PowerPoint decks, Sales Reports, etc.).
Systems Savviness
– Experience extracting data and information from the CRM system (DealCloud), MS Office, and prior demonstrated experience quickly learning new technologies.
Schedule & Calendar Management
– Demonstrated ability to manage multiple executive schedules and calendar’s This includes schedule management, meeting coordination and planning actives such as room reservations, conference technology set-up (Phone/Video), printing of materials, and catering needs.
Travel & Expense Management
– Experience managing executive travel planning and itineraries inclusive of airline, hotel, transportation, and reservations.
Accurately process expenses using an expense tracking software, preferably Concur.

– Someone who has a great personality, will not be shy or reserved, has confidence in themselves, and a strong sense of social awareness, as well as, the grit, determination, and wherewithal to navigate a fast-paced, dynamic, and ambiguous environment.
What You’ll Be Accountable For Plan, organize and implement events, such as meetings, business luncheons or client dinners Pulling, extracting key information and data sets from DealCould (CRM) into PowerPoint presentations, as well as, editing and reviewing client-facing documents and presentations.
In this position you will provide executive administrative support to the Senior Leadership team, completing a broad variety of administrative tasks.
Management of active executive calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
Researching, prioritizing, and following up on incoming issues and concerns addressed to the Executive Staff, including those of a sensitive or confidential nature.
Determining appropriate course of action, referral, or response.
Providing a bridge for smooth communication between the leadership office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
Providing leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the President, some of which may have organizational impact.
Prioritizing conflicting needs; handling matters expeditiously, proactively, and following-through on projects to successful completion, often with deadline pressures.
Arrange travel, accommodations, car rental, Visas when necessary, itineraries, and all correspondence related to arrangements as needed Prepare confidential reports, presentations, and data, as well as maintain files, records, and correspondence for meetings Enters and submits expense reports Works autonomously to manage projects and maintain communication with interested parties Provides complex screening, fielding, prioritizing of inbound communications via telephone, mail, and e-mail to resolve critical issues in a timely manner What Qualifications You Need Bachelor’s degree preferred, Associate degree and adequate professional work history & experience will be considered Minimum of 4

Leadership and/or C-level executive assistant in a fast-paced company environment Advanced skills in Microsoft Office Suite: Microsoft Word, Outlook, Visio, PowerPoint, and Excel Must be excellent navigating & use of common systems and software Experience managing executive travel planning and itineraries inclusive of airline, hotel, transportation, and reservations Demonstrated ability to accurately process expenses using an expense tracking software, preferably Concur Experience building and maintaining relationships within a team Experience using time management skills such as prioritizing/organizing and tracking details and meeting deadlines of multiple projects with varying completion dates Ability to influence and persuade various internal and external constituents for meetings and to drive projects to completion Experience developing ways of accomplishing goals with little or no supervision, depending on oneself to complete objectives and determining when escalation of issues is necessary.
