The ideal candidate for this position will excel if they can keep their calm in a high pressure environment coordinating the logistics of the CEO of the company. The candidate should have relevant experience to the role that highlights their capability to conduct all administrative work, making sure the CEO’s operations run smoothly. Thus, the candidate should be detail oriented and a creative problem solver.

JMF Development LLC is a real estate development and property management company established in 1994 and headquartered in Downtown Los Angeles. JMF’s activities include management of our current portfolio, which includes, office and apartment buildings, high-end residential beach home rentals in Malibu, CA and Miami, FL. We are currently developing a ground-up, mixed-use high-rise comprised of a hotel and residential living. Seeking

JMF Development is looking for a dynamic, talented, and experienced Executive Assistant with strong organizational and communication skills to be part of our team. The Executive Assistant will report directly to the CEO and support department managers. The job responsibilities include but are not limited to office management, coordinating daily schedules, planning executive travel, assisting with personal affairs that require travel for the CEO, and taking on projects as needed. The ideal candidate must be self-motivated, trustworthy, flexible, and profession. A background in real estate, accounting, design, marketing, or related business is helpful.

Responsibilities

  • Act as the point of contact to clients, tenants, and other external partners.
  • Be an integral part to help execute on a varying range of projects.
  • Organize and manage information flow in a timely and accurate manner.
  • Manage messages, emails, and coordinate and distribute correspondence.
  • Create internal communications, meeting agendas, and support leasing, management, and accounting department managers.
  • Maintain appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel; prepare information, memos and documentation as needed.
  • Manage personal errands for CEO as needed. (A must)
  • Perform general administrative duties for executives such as: reports, maintaining files, organizing, photocopying, and follow up on outstanding items as needed.
  • Improve office efficiency related to administrative tasks and responsibilities Handle confidential tasks and additional projects as assigned.

·        Ability to pick up on new technologies quickly and efficiently.

Requirements

  • 3 years of prior experience as an Executive Assistant in a role that supported more than one person. Experience in real estate or related industry environment is helpful.
  • Excellent organization skills, attention to detail, strength in time management, and prioritization.
  • Ability to make decisions and adjust to changes while maintaining composure and managing other tasks and projects.
  • Experience with independent projects as well as working with teams.
  • Able to juggle multiple projects and schedules.
  • Ability to take direction, facilitate, plan and remain calm under pressure.
  • Strong writing skills with the ability to compose letters, emails and respond to same.
  • Ability to manage the demands of a variety of situations and people.
  • Possess a wide range of general office, administrative skills with the ability to maneuver through fluctuating priorities.
  • Excellent computer and technical skills: Outlook, Word, PowerPoint, Excel, office systems, web applications, and office equipment.
  • A bachelor’s degree with a minimum of three (3) years of experience in an executive support/customer service role (or similar position), required
