Intake Coordinator

JOB DESCRIPTIONTitle: Intake CoordinatorPOSITION DESCRIPTION:Under the direction of the Program Supervisor, the Intake Coordinator is responsible for performing administrative and clerical duties as they relate to the coordination of the intake process, with an emphasis in the processing of referrals and scheduling of intakes. The Intake Coordinator works closely with the revenue staff and supervisors to ensure clients are scheduled for intakes according to CB policies.RESPONSIBILITIES:* Completes the initial data gathering for any/all referrals.* Completes initial screening for all new referrals and schedules intake based on intake calendar.* Completes new intake packet with client and family for open access system.* Verifies clients Medi-cal eligibility.* Communicates status of referrals with site supervisors and referring parties.* Sends out letters to clients/families and referring parties as instructed re: intake appointments.* Monitors and ensures that service providers submit reports in a timely manner.* Inputs data and maintains data base files as required* Sends out and tracks various letters, records and documents.* Maintains confidentiality in matters of agency operations, personnel, and clients.* Maintains positive communications with all agency staff, clients and visitors.* Exercises good judgment in performance of duties and responsibilities* Supports existing agency policies, principles and mission.* Assists with coverage as assigned for receptionist.* Types correspondence, forms, reports, flyers, etc.* Other related duties as assigned.TRACKING AND MONITORING ACTIVITIES* Ensures that intake cases are proceed within mandated timeline* Monitors the timelines for reports submitted by the consultants and service providers.* Keeps abreast of policy changes relative to intake and eligibilityQUALIFICATIONS:* An AA degree in Social Services field or High school graduation with a minimum of three years of responsible experience in a related field may be substituted.* Bilingual Spanish speaker* Previous clerical/secretarial experience* Typing, word processing and data entry ability as determined by specific job requirements* Good verbal and written communication skills* Experience in working with children and families preferred* Ability to work in a multi-cultural environmentDiversity is a core value at Children’s Bureau and in the Mental Health department.
