OverviewJob Summary:The Office Assistant reports to the Office Manager.

The Office Assistant will provide support to the General Manager, Office Manager, and office as needed.

This position performs administrative support and game time task functions that include, but are not limited to, assisting with scheduling, employee onboarding, game related tasks such as check in/out and NFP checklist, and NFP procurement.Given the small size of the Spectra onsite office it is critical that the Office Assistant have the ability to multi-task, organize and prioritize tasks, and willingly assist Spectra staff where needed.

In light of the sometimes seasonal and event-driven nature of our business, the successful incumbent will have the ability to focus on and prioritize the administrative duties that are most critical and time-sensitive.Spectra, an industry leader in sports, entertainment, and venue management, is dedicated to recruiting and developing individuals with the skills, experience, desire, and values to contribute to the continued growth and success of our organization.Together, with our 250 sports & entertainment venue partners, we transform events into experiences These experiences create excitement, turn heads, and make memories.Come Join Us You can learn more about Spectra at www.spectraexperiences.com/ResponsibilitiesEssential Job Functions (including to but not limited to):Scheduling Assist Managers in creating schedules for: Concessions Catering Kitchen Warehouse Input all schedules into TimeSaver for the following departments: Concessions Catering Kitchen Warehouse Communicates schedules to all staff/volunteers Actively recruit hourly and not for profit staff for all Orlando area venues Check-In Operates staff check-in process Create and utilize a Uniform Sign Out sheet Create and utilize a Concessions Placement sheet Create and utilize an NFP Group Sign In sheet Create and utilize an Employee sign in sheet Provide proper facility credential for approved staff Employee Onboarding Assist Office Manager in receiving all applications and review with each departmentALL APPLICATIONS MUST STAY IN OFFICE IN LOCKED FILING CABINET Assis Office Manager with New Hire Paperwork, capturing all information/signatures Ensure all trainings are completed TimeSaver Enter all schedules Enter all time punch edits with proper documentation Enter all gratuities/commissions Review daily/weekly tasks list to ensure proper use of time clock Ensure all mandatory breaks are being documented Game Time Tasks NFP Checklist For each game, an NFP Checklist must be filled out for each group working Each group leader must sign off on any deductions Policy Compliance Uniform Policy Break Policy Attendance Policy Customer Service QualificationsQualifications: Excellent computer skills with knowledge of Excel, Word, PowerPoint, Access and/or other data base programs.

Excellent written and verbal communication skills.

Excellent proof-reading skills Consistent and reliable attention to detail, accuracy and validity.

Ability to multi-task in a fast-paced, changing, environment.

Excellent communication skills.

Ability to develop and maintain cooperative working relationships with company and business contacts.

Ability to interact with a diverse spectrum of individuals calmly, professionally, supportively.

Ability and willingness to work extended hours (i.e.

evenings, weekends, holidays), as frequently required by event or business necessity.

Ability to adhere to highest standards of ethics, integrity, professionalism, and discretion.

Education and experience: High School graduate or equivalent.

Minimum of two-year degree in Office Administration or related field preferred.

Two years working with the public in an office environment.

Combined education/experience maybe evaluated to meet minimum requirements.
