This position requires vaccination against COVID-19 or, if applicable, an approved accommodation for religious or medical reasons.Position Summary:Located in Denver, Colorado the Engineering Administrative Assistant performs a wide range of general administrative support duties for the Engineering Department and CTO with limited direction.Primary Responsibilities: 90%Support office staff and executives with clerical tasksUpdate and maintain internal Engineering SharePointSchedule appointments, meetings, conferences, and travel agendasReceive and screen telephone calls, letters, and/or visitors; make calls related to department matters.Organize logistic for meetings, presentations, trainings, and other office-related eventsComplete Special Security Agreement (SSA) visit requests.Monitor, order and maintain office supplies for the department.Prepare expense reports and reconcile against corporate credit card.Organize and maintain correspondence and records, following up on pending matters with limited direction.Develop and maintain active filing systems
– including electronic files.Prepare and collate presentations and reports for the department.Organize and maintain files and records, update when necessaryOversee Shipping and ReceivingCreate PR, PO, Receipts into internal procurement systemRequest quotes to vendors based on project request.Additional Responsibilities: Administrative systems provisioning and other duties as assigned: 10%Qualified Experience / Skills / Training: Strong knowledge of SharePoint, or similar document/program management softwareStrong knowledge of Microsoft Office/Microsoft 365Excellent customer service and communication skillsStrong working knowledge of office procedures and basic accounting/procurement principlesAbility to effectively use and maintain office equipmentOutstanding communication skillsGreat multitasking abilitiesEducation:Associate degree, or Bachelor’s degree in business, administration, or related field preferredExperience:3-10 years of experience in an administrative support capacityKnowledge, Skills, Demonstrated Capabilities:Must use judgment in arranging calendar and travel.Self-directed and able to work without direct supervisionWillingness to learn and to grow with the company and motivated to take on additional tasks and solve problemMust be able to interact cordially and productively with co-workers, supervisors, and customers.Valid state issued driver’s license required.Communication Skills (Spoken, Written, Influencing, Proficiency in Other Languages):Exceptional attention to detail, diplomacy, excellent organizational skills, solid follow-through skills and strong interpersonal and communications skills required.French is a significant plusTechnical Systems Proficiency:Advanced computer skills with emphasis on Microsoft Office applications is essential.Strong Knowledge of SharePoint and MS TeamsBe able to adjust quickly in digitalized technologyNew technology enthusiastTravel Required: 0-10%Eligibility:US CitizenshipNature of Contacts:Involved Communication on a daily basis with internal and external parties.Physical Requirements:Environment: Work in office environmentVision: able to see and read computer screen and other electronic equipment with screens, able to read documents, reports,Hearing: able to hear to participate in conversations in person and via teleconference or phone and to hear sounds including safety warnings or alarms.Speaking: able to speak in conversations and meetings, deliver information and participate in communications.Equipment Operation: able to operate most office and personal electronic equipment and some tools including production toolsCarrying: able to carry documents, tools, drawings, electronic equipment up to 30lbs for short distance and short period.Lifting: able to lift documents, tools, drawings, electronic equipment up to 30lbs for short distance and short period.Pushing / Pulling: able to push and pull small office furniture and some equipment and tools.Sitting: able to sit for long periods of time in meetings, working on computer.Squatting / Kneeling: able to squat or kneel to retrieve, replace, or work on items stored on low shelving.Standing: able to stand for discussions in offices or outside.Equal Opportunity: Airbus U.S.
