Office Administrative Assistant

Then this role might just be what you're looking for!The primary function of the Office Admin is to assist the Director of Operations with the efficient and effective operations of a small corporate office.

The office is located in West LA, work hours are from 8am to 5pm, Monday through Friday.Essential Functions & Responsibilities* Ensure incoming calls are answered and routed to the appropriate person.* Assist the team with scheduling meetings, appointments, and updating calendars.* Take ownership of the Customer Relationship Management database, Salesforce, to ensure all conference lists and contacts are entered in a timely & accurate manner.

Heavy data entry.* Maintain office inventory and appropriate stock levels, including kitchen, office supplies and marketing materials.* Update the employee parking database and distribute guest parking validations.* Maintain and/or troubleshoot office equipment and call for support when necessary.* Proactively communicate with building management for office maintenance requests.* Print and bind marketing materials for team sales meetings.* Track all incoming and outgoing mail and packages.* Provide back-up support for the Executive Assistant.* Brainstorm and help coordinate office activities and events.* Keep office organized at all times.* Various projects for the Operations Director as requested.Qualifications* Minimum of 2-3 years administrative experience in a professional office setting* Bachelors Degree preferredQualifications and Technical Skills* Strong written and verbal communication skills* Knowledge of MS Office including Word, Excel and PowerPoint* Knowledge of Salesforce or CRM database preferredPersonal Competencies* Analytical* Professional demeanor and good phone presence* Ability to prioritize, multitask and work unsupervised* Strong attention to detail with a proactive mindset* Friendly personalityM
