Responsibilities
Under the direction of the MSOII and MSOIII, manage all operational aspects of the Radiological Sciences Reception While ensuring the efficient and effective coverage of the 24 hour/7 day schedule, major duties include providing administrative support, personnel management including all staff JCAHO documentation, formulation of section policies and procedures, implementation and staff training of ongoing improvements for Care
– Connect.
Radiant, Medicals, Magview.
Ensure all employee training requirements are up to date, Maintain daily , weekly or monthly huddles, attend PCAT rounds, maintain Service Recovery database, monthly staff observations, Perform monthly employee audits on cash collection and other related productivity .
Problem solve using the Lean Methodology.
Reception/Cash Collection: The primary responsibilities for this position include planning, organizing, and coordinating the implementation of reception and cash collection activities in support of the daily operations of Radiology inpatient and outpatient operations at the Santa Monica facilities.
Direct interaction with employees, medical staff, patient customers and their families to ensure timely and accurate delivery of the reception and cash collection service is paramount.
In addition, the incumbent will be responsible for the administrative, programmatic, personnel management/development/productivity and regulatory compliance of the Reception area.
Responsible for working with the MSOII in responding to customer (patient and physician) complaints and developing appropriate solutions for improving the overall service level of the Radiology Reception area.
This position will provide support at multiple sites including: Santa Monica Campus and other sites as they are determined.
Weekend and night supervision of employees when needed.
Rotation in Westwood and SM may occur.
Required backups for Western Geographical Manager.
Qualifications
Required:
High School Diploma or Equivalent
2 years experience in Film Library/Filing
Skills and Abilities:
Managerial skills to operate multiple Reception areas
Skill in supervision of employees and students directly or through subordinates.
Working knowledge of University Human Resources Policies and Procedures and a clear understanding of the clerical union agreements.
Interpersonal skills for the diplomatic and effective communication with staff, physicians and the general public in conveying information to varying organizational levels.
Skill in writing memoranda, personnel evaluations, section policies and other operating communications.
Establish and maintain cooperative working relationship with all levels of staff and physician faculty

Three to five yearsÂ’ operations management experience in a multi-functional organization of similar size and complexity with a focus on reception and cash collection management.
Working knowledge of logistics and distribution principles and multi-functional tasking in a complex work environment.
Ability to lead and motivate a large staff and work productively, collegially and effectively with staff, faculty and customers at all levels.
Ability to contribute to the strategic planning activities of the Department of Radiology where they relate to new services and the Reception interface.
Excellent working knowledge of personal computer applications in data processing, registration, scheduling, word processing, and overall office support functions.
