Position Summary: The ideal candidate has experience supporting United States Government (USG) customer(s).
Provide Project Assistance and Administrative Mission Support during interactions the USG customer.
This position requires the ability to interface with multiple stakeholders (both internal & external) in various organizations to assist with stakeholder management.
Additionally, the position requires the individual to quickly move through the internal Alion/HII acquisition processes to make the program successful.
The incumbent should also have the desire to expand their role within the contract to assist with the continued growth.
Duties include:
• Process all administrative actions for coordination with multiple USG stakeholders
• Define / Track actions items
• Assist in preparing multiple briefings for senior leadership
• Schedule and support meetings by creating an agenda as well as meeting outcomes and action items
• Track customers for update the stakeholder register
• Track action items in appropriate workbooks and notify leadership of any pending actions required
• Update the risk register and work with the team to score risks and identify mitigation strategies
• Prepare and file administrative papers, presentations, etc.
in appropriate repositories
• Proactively maintain the leadership calendars, de-conflicting meetings, obtaining read-ahead materials, and tracking other senior leader calendars for relevance and synchronization
• Work with subcontracting and procurement to acquire data & images from multiple vendors.
Track purchases/procurement actions through closure
• Provide other project and administrative support as needed
• High attention to detail and organization
• Ability to clearly communicate among all levels
• Excellent writing and editing skills with comprehensive knowledge of correct grammar, punctuation, spelling, and usage of the English language.
• Ability to meet strict deadlines and communicate project blockers.
• This is a highly dynamic and demanding role and tasking may be adjusted as needed.
• Ensures all activities are carried out in accordance with project commitments or specific objectives.
• Responsible for day-to-day coordination and administration of tasks by ensuring quality and productivity standards are maintained while meeting client schedules.
• Coordinates with other contract and subcontract personnel to ensure work moves smoothly from one functional area to another.
• Works with project manager and/or client to prepare work schedules and man-hour estimates.
• Provides written management or program plans, maintenance and operations instructions, task status analysis, cost reports, and other related documents.
Education/ Qualifications: At miniumn a Associates Degree in Business or like discipline.
Candidates with Bachelors degree and 5 years experience are highly desired.
Master degree welcomed.
Excellent communication and interpersonal skills, with the demonstrated ability to work with different levels of management internal and external to Alion.
US Citizenship and the ability to obtain a DOD clearance after hire.
Occasional travel may be required.
