Regional Records Manager

The Regional Records Manager, under the direction of the Enterprise Records Manager (Firmwide), is responsible for oversight of all aspects of Records Management in their respective region, including the facilitation of incoming and outgoing electronic and hard copy record transfers for attorneys joining and/or departing the firm. The Regional Records Manager will be responsible for conducting research, maintenance and implementation of the firm’s records retention schedules and storage programs. Essential Duties and Responsibilities: Coordinates the transfer of electronic and hard copy records for attorneys, clients, and other stakeholders entering and departing the firm. Works with Practice Group Leaders, Office Managing Partners, and Office Administrators, as appropriate.Communicates with records management colleagues at other firms to ensure proper file transfer and logistics.Responsible for communicating and reviewing records management departure procedures with departing attorneys and staff ensuring all deadlines are met.Conducts records management onboarding for new firm personnel following the firm’s record management policies and procedures.Oversees training and development of records management staff on current processes and procedures including scanning/converting/digitalizing paper records into the document management system, as well as retrieves and processes files/boxes from off-site storage facility. Responsible for working with the Information Governance and Data Governance team for management and remediation of electronic data in structured and unstructured repositories.Coordinates workflows and priorities for records management staff in their respective region. and oversees accuracy of entry of data into the Records data management system (IRM).Assists in development, implementation, and revisions of Records standard operating procedures. Interprets procedural and policy questions for records staff and other firm personnel determining when exceptions are appropriate.Ensures the destruction and retention schedules for client matter and administrative files are followed in accordance with current established firm guidelines. Responsible for electronic and physical file space allocationHires, trains, supervises, evaluates and terminates records staff in assigned locations.Monitors department productivity and prepares statistical reports on productivity.Manages quality control to assure accuracy and integrity of inventory and circulation data.Responsible for closing matters in Aderant as requested though matter closing form. Strong attention to detail and the ability to compose, review and proofread all work and data entry for spelling, grammar, and accuracy. Effectively communicate both orally and in writing to management, team members, business leaders, and technology professionals.Represent the department in a professional and positive manner.Strong knowledge of Microsoft Office Suite, Physical Records Management Software, Electronic Records Management Software, and Accounting Software.Experience with electronic file downloads and data mapping.Must be able to regularly lift and/or move up to 10 lbs., frequently lift and/or move up to 25 lbs., occasionally lift and/or move up to 50 lbs. and be able to reach and replace objects from shelves of up to 8 feet high, including moving and arranging record boxes. Employee must be able to climb or balance; stoop, kneel, crouch, or crawl. Education and/or Experience: B.A. or B.S. from an accredited college or university or any equivalent combination of training, education, and two or more years’ experience that demonstrates the ability to perform the duties of the position.Five (5) years’ experience firm-wide Records Management System and Matter Centricity knowledge.At least two (2) years of supervisory experience. #LI-HybridThis position description is intended to describe the general content of and requirements for the performance of the job.
