The award-winning IUAA marketing department develops marketing strategy and creative for internal content and programs such as Homecoming, IUPUI Regatta, the Indiana University Alumni Magazine (published biannually), IUPUI Alumni Leaders Awards, and our monthly e-newsletter, Alumni Insider.

A highly collaborative team, we engage with IU’s 729,000 alumni through editorial and promotional content.

Job Summary The Project Management Specialist is a critical member of the alumni marketing team and is responsible for understanding our methods, marketplace, and audience to shape and promote the services and products of the IUAA.

Typical projects include: video, photography, websites, print brochures, advertisements, signage, and other marketing products.

This work is done collaboratively, advancing IUAA’s mission and adhering to the IU brand guidelines.

In addition, this role’s primary workspace is in the IUPUI Office of Alumni Relations in Indianapolis, while many marketing and internal partners are in Bloomington or work remotely.

This role manages projects from start to finish, ensuring they are completed on time and within budget.

Using our online project management tool, they develop project plans and analyze, track, forecast and report on project metrics and shortfalls.

They identify, resolve, or escalate operational problems and minimize delays for completion when needed.

Drives execution of day-to-day tasks with the creative team on multiple projects at a time, ensuring they have the information needed to perform the task and that quality assurance steps have finished before publishing.

Managers lead meetings with both our internal partners and the marketing team, which requires making decisions on-the-fly and working autonomously with little oversight on daily work.

Maintains constant communication with partners, marketing team, and vendors.

Qualifications EDUCATION Required Bachelor’s degree in a relevant field.

WORK EXPERIENCE Required 2 years of experience in project management, as an account representative, or in a related field.

Combinations of related education and experience may be considered.

SKILLS Required Excellent organizational skills.

Proficient communications and relationship skills.

An acute attention to detail.

Ability to learn and use basic computer software.

Maintains a high degree of professionalism.

Demonstrated time management and priority setting skills.

Ability to build strong relationships.

Possesses flexibility to work in a fast paced, dynamic environment.

Preferred Experience working with a creative and/or content team.

Understanding of and experience using Adobe Creative Cloud software, particularly InDesign, Photoshop, and Illustrator.

Demonstrated proficiency and experience with a web content management system.

Experience with an email service provider such as Salesforce, iModules, or Constant Contact.

Experience with a web-based project management system such as Workfront, Basecamp, or Trello.

Working Conditions / Demands This position requires the ability to effectively communicate and operate a computer and other standard office productivity equipment.

The position involves sedentary work as well as periods of time moving around an office environment and the campus.

The person in this role must be able to perform the essential functions with or without an accommodation.

Work Location This position is will primarily work from our Indianapolis office and may require travel to Bloomington for meetings.
