Office Manager & Marketing Assistant MUST BE BASED IN LOS ANGELESSummaryBliss is looking for a highly organized, detail-oriented office manager with a passion for Marketing.

This person should have executive assistant experience supporting senior leadership members (i.e.

VPs to CEOs).

They will work closely with members of the Marketing team, assisting in the management of creative assets for digital, social, Marketing collateral, and more.

This role will assist with monthly social shoot prep, product orders and mailers, maintain the influencer database, and assist with community building on social channels.Essential Functions & Responsibilities:* ONCE SAFELY OPEN: Manage all office needs, including but not limited to: answer phone for the main office line, mail management, maintain office organization and cleanliness in accordance w/ COVID guidelines, food and supply order management and organization.* Support the entire Leadership team with daily administrative duties as needed.* Handle confidential assignments.* Manage initiative / Special Project lists.* Assisting with itinerary / calendar management for CEO and select Executive Leadership.* Maintain / Arrange travel calendar for Leadership Team.* Request and book flights, hotel and car services for the organization as needed.* Manage Expenses for CEO and select Leadership Team and company card.* Type memos, reports, letters and other correspondence from written drafts and dictations, able to compose own correspondence and proofread documents.* Act as a liaison with other departments within the Company.* Arrange / set-up for meetings (order food and beverages) / reserve conference rooms.* Head up monthly birthday celebrations and office parties.* Send and distribute faxes, copy documents, maintain files.* Onboard all new employees by working with HR, IT, Leadership team and building management.* Support Marketing team with customer service responses via email, social and phone, as well as, support marketing and GBD teams with any shipping and planning needs.General Office Duties:* Preserves office functionality through companywide ordering, shipping.* Manages all mailroom activity, accounts, and supplies which include Fedex, USPS, and UPS.* Delivering and organizing daily packages brought into the office.* Maintaining the appearance of the office daily to look presentable at all times.* Manages office equipment and accounts such as ordering, maintenance, and contracts.* Manage, organize and updates Human Resource files, records, correspondence, charts, phone lists, and reports.

Files when needed .* Building responsibilities
– issuing and managing key cards, parking hang tags, office cleaning, and alarm system.* Maintain Kitchen and office duties, paper towels, soap, supplies, food, etc.* Set up of all new employee workstations IT, office supplies, and HR responsibilities.* Welcoming and greeting all guests daily entering the office.Marketing Responsibilities* Assist in the management of Marketing creative under the supervision of Senior Content Strategist.* Asset download, upload, and organization to shared file server.* Support Consumer Engagement Manager with ambassador program, including day to day management of platform & mailers.* Distribute assets to Social, Marketing, Paid / Digital teams & agency partners.* Support digital team w/ customer service queries, ad moderation, & ad hoc requests.* Social Media & competitive research
– trending social media news, TikTok trends, images, IG story concepts, community inspiration, competitor content.* Order product for shoots / ambassor program & manage all shipment requests.* Maintain office product closet (check inventory, order replenishment, move boxes, organize).Key Qualifications* Candidates recently graduated from an Undergraduate school.* Must live near & be able to commute to mid-city Los Angeles (near The Grove).* Immersed in social media platforms & knowledgeable about different content formats across TikTok, Instagram, Youtube.* Experience with content creation a plus (even if not professionally).* Available Monday-Friday 9am-5pm & have fast, reliable WiFi connectivity.* Ability to multi-task, take initiative, and be flexible in a fast-paced environment.* Capable of taking direction and absorbing information quickly.* Positive, can-do attitude resourceful and can take initiative.* Passion for skincare / beauty.Education & ExperienceBS/BA degree required.
