Scope of Work
The primary function of the executive director of the DBPA will be to coordinate, manage and guide the Board of Directors in achieving the Association’s goals through advocacy, marketing, events, media relations, administrative organization, and civic representation.
Additionally, tasks include, but are not limited to, supervising the manager and all marketing and planning of the weekly Manhattan Beach Certified Farmers’ Market.
The Executive Director is expected to establish expert working knowledge of DBPA & BID policies, procedures and programs; manage day-to-day operations of the DBPA and take a leadership role with the DBPA Board of Directors and stakeholders.
Additionally, the director is expected to continually develop the DBPA’s relationship with elected officials, the civic community and business leaders and maintain the DBPA’s representation on a wide range of boards and committees.
The Executive Director will have the power to transact everyday business for the DBPA, within established policy and procedures.
The ideal candidate will be a motivated self-starter with the ability to work without supervision, possess strong organizational, planning, written and verbal communication skills, be a critical and strategic thinker, and ideally a resident of Manhattan Beach or surrounding Beach Cities.
Starting Salary Range: Commensurate with experience and market
Hours: Full-time with flexibility to work some evenings and weekends
Reporting: Reports to the DBPA Board of Directors
Management + Leadership
Provide guidance regarding adherence to the DBPA bylaws and policies
Have complete financial knowledge in order to provide cost control, accurate budget forecasting and strategic planning
Facilitate annual BID budget meeting to secure City funding
Meet regularly with DBPA President to discuss critical issues and review operations
Meet regularly with the DBPA Treasurer to coordinate the signing of checks
Maintain and coordinate master Calendar of Events
Coordinate meeting agendas
Act as an ombudsman for the DBPA
Develop and coordinate special projects, programs, activities, communications
Oversee parking initiatives and the Valet parking program (seasonal)
Work with the City’s Environmental Program Manager to educate and encourage all businesses to implement and follow all environmental and sustainable best practices as put forth by city ordinances
Administrative Services
Answer business phone line with personalized voicemail box
Maintain all legal and financial records, correspondence and files as needed
Act as communication link with public and members
Retrieve mail from Post Office Box
Maintain membership database
Keep all insurance policies for the DBPA & MBFM current and relevant
Coordination of Board of Directors Meetings
Prepare meeting agenda for review by President
Distribute meeting announcement to members, speakers and appropriate guests
Facilitate meeting and record meeting minutes
Accounting & Financial Administration
Working knowledge of QuickBooks Business required
Accounts payable: prepare checks, gather signatures, distribute payments
Accounts receivable: prepare deposits and register in QuickBooks
Prepare and track invoices as needed
Submit necessary files with state and federal offices (Tax returns prepared by CPA
Prepare annual Budget
Farmers’ Market
Oversee the budget, planning, operations of the weekly Certified Farmers’ Market
Create marketing material, newsletters, and maintain social media
Schedule and plan special events calendar, cooking demos, and community events
Coordinate City services, janitorial services, and sustainable best practices
Curate and maximize relations with business sponsorships
Community Representation
Represent the interests of the DBPA with local City + community organizations
Manhattan Beach Chamber of Commerce appointed Director Position
MB Chamber Legislative Advocacy Council + Hospitality committee member
Attend City Council, Chamber, School District and community meetings as needed
Holiday Decorations + Entertainment
Plan holiday decorations at Metlox Plaza
Secure sponsor and schedule Living Christmas Trees exhibit at the pier
Schedule and coordinate holiday lighting with Public Works
Schedule holiday entertainment
Website/Social Media
Work with web developer to maintain a user friendly website that reflects the image of Downtown Manhattan Beach and serves the members
Update business listings, announcements and calendar
Curate photo database for use on social media and website
Develop, schedule, post social media content to relevant mediums
Print + Marketing Materials
Coordinate the design, creation and production of desired print material
Distribute new materials to appropriate stakeholders
Events
Coordinate three Sidewalk Sales, Halloween activities + The Holiday Open House, Small Business Saturday, Sunset Beach Party and integration with MAJOR events in the Downtown area
Create, produce, communicate and assist in all elements related to each event, including creative and all necessary media assets, PR and city scheduling
Coordinate event banners with The City
Create, produce and assist in distributing event window posters
Prepare event budgets, required invoices and financial event recaps
Interface with local agencies as needed
Business Improvement District
Prepare the annual plan for the Business Improvement District Advisory Board
Schedule Meeting of the BID Board
Coordinate with the City for postings of BID meeting
File resolution of Intent with the City
Minimum Technical Skills Required
Knowledge of Word, Excel, Power Point
Knowledge of Facebook, Instagram, Twitter, Yelp
Knowledge of Squarespace, Google Suite recommended
Knowledge of QuickBooks and basic office equipment required
