Requisition Number: 34067 Job Title: EVENTS SPEC 3 Working Title: Events Manager Salary: $4,600 – $11,183 monthly Job Type: Career Department Name: 0250-LAW Department Website URL: Job Summary Statement: Under the general direction of the Chief of Staff, the Events Manager is responsible for the management and oversight of School of Law events located both on and off the UCLA campus, as well as coordination of all virtual events, as required. Responsibilities include oversight of event scheduling, including time and space use; oversight of event planning, consultation and execution of events and programs held by the school’s constituents and selected third party event producers; establishment of event policies and procedures; direct production of defined School of Law events; providing strategic advice to all deans, directors, chairs, administrative officers, faculty, students, and other staff regarding all aspects of event planning and management at UCLA Law, including but not limited to: risk management, fiscal control, procurement, vendor relations, and policy guidelines; and developing highly detailed reports and queries on sales, statistics, room utilization, and billing through the Event Management System (EMS). Additionally, the Events Manager works with Building Operations to develop Standard Operating Procedures and business rules for EMS usage and the EMS Event Calendar. This includes working in conjunction with other law school departments as necessary to define, implement, and update event reservation rules throughout the academic term cycle, and implementing solutions for managing shared space in such a way that classes are not affected. Percentage of Time: 100 Shift Start: 8:00 am Shift End: 5:00 pm Qualifications for Position 16 Records Qualifications Required/Preferred B.A. or B.S. degree or equivalent strongly preferred. Preferred 3-5 years of experience in event production, event management, and/or event administration. Previous event management experience working with multiple high-profile events with competing priorities and fluctuating deadlines. Required Working knowledge of all logistical support elements of special events and event production, including experience working directly with vendors including catering, promotional material designers, venues, rental companies, audio/visual production companies, mail houses, parking and security. Working knowledge in negotiating and executing formal agreements/contracts with such vendors. Required Experience creating production schedules, timelines and logistical outlines; ability to negotiate and exchange ideas and information to formulate implement procedures, programs and goals; and ability to analyze complex programmatic problems and situations to quickly determine viable alternatives. Ability to negotiate among parties with conflicting interests in order to affect a positive result for all parties involved. Excellent analytical skills and ability to think creatively to solve problems and develop solutions. Required Ability to seek out and analyze information, evaluate situations and to appropriately take action or recommended solutions. Ability to identify methods of increased efficiency in working operations and to propose modifications to same. Required Highly organized with strong attention to detail and ability to work on multiple projects simultaneously. Required Strong proficiency with Microsoft Word, Excel, internet, and the ability to learn other software programs and systems with ease. Required Ability to physically lift boxes or materials weighing up to 50 pounds. Ability to kneel, climb stairs and ladders, push, balance, stoop, crouch and reach. Required Ability to work some evenings and weekends with prior notice. Required Strong knowledge of event related technologies, such as Lighting, Sound, Video, Streaming, and Projection, and the ability to learn and implement advances in the fields as they arise. Familiarity with website design and editing. Preferred Experience collaborating with central campus units like Facilities Management, Capital Programs, Insurance and Risk Management, Environmental Health and Safety and Purchasing to ensure university policies are followed and projects advance within deadlines. Knowledge of the University budgeting procedures; working knowledge of the campus Bruin Buy system and knowledge of event-related University policies and procedures; and UCLA campus venues, services and departments. Preferred Knowledge of the rules and regulations of the police department, fire department, U.S. Postal Service and Alcohol Beverage Control department in relation to event planning. Knowledge of emergency procedures as they apply to the campus and the workplace. Preferred Experience using Event Management Software (EMS) to schedule events.
