What you will be doing:
Consistently offer professional, friendly and engaging service
Work with clients on all details that pertain to their event, which include managing room blocks, creating menus, managing meeting space, and handling group billing
Work with all departments of the hotel to ensure group details are properly communicated to each department
Create Banquet Event Orders for each individual event and distribute them to all hotel departments
Prepare Group Resumes for each group and distribute them to all hotel departments
Act as a personal on-site liaison between the meeting planner and the various hotel departments
Create floor plans for each event to ensure Banquets and clients are in agreement prior to set-up
Confirm all event related information with clients upon their arrival at the hotel
Ensure the meeting planner’s office, registration area and all function spaces are set-up as listed on Banquet Event Orders
Ensure all details are delivered as per the meeting planner’s instructions
Updateall parties involvedon a daily basis on group status and any necessary follow-up
Ensure all received and shipped convention materials are delivered to the meeting planner as per their instructions
Anticipate and resolve any problems quickly and communicate with appropriate departments
Attend Pre-conference Meetings with clients and pertinent departments to confirm all relevant details are communicated
Conduct and/or attend daily meetings to review event contracts and ensure last minute changes are communicated with appropriate departments
Facilitate bill reviews with clients as needed
Conduct site inspections as required
Attend community and/or social events and industry meetings
Follow departmental policies and procedures
Follow all safetypolicies
Other duties as assigned
Your experience and skills include:
Previous leadership experience within a similar role required
Computer literate in Microsoft Window applications and relevant computer applications required
Excellent communication skills, both written and verbal required
Strong interpersonal and problem solving abilities
Ability to multitask and work on various accounts at once
Highly responsible & reliable
Ability to focus attention on guest needs, remaining calm and courteous at all times
Familiar with and knowledge of Opera Sales and Catering or a similar Sales & Catering system
Hospitality diploma or degree an asset
University/College degree in a related discipline preferred
Previous luxury hotel/resort experience preferred
