ABOUT US

A Place Called Home is a dynamic, non-profit youth and community center in South Central Los Angeles. APCH provides educational programs, counseling, mentoring, music, dance and art classes, fitness and health and wellness opportunities. As youth participate in our programs, they discover interests and talents and develop a better sense of themselves and their place in the world around them. Our goal is to increase the likelihood that youth will stay in school, pursue higher education, attain viable jobs, and become active community members capable of making positive change in the world in which they live.

Our mission is to serve youth and families directly and the optimal way to do that is in person. The majority of our positions require employees to work onsite at our facilities. We will always comply with or exceed government and public health safety mandates. Our priorities and policies to protect the safety and health of our staff and members may require special protocols on our campus and/or may require us to work remotely on a temporary basis.

Job Title: Events Manager

Department: Development

Position Summary:

APCH has been growing 8-10% annually for a decade, and has plans for significant additional growth. The Events Manager position is part of the Development Division at APCH that comprises multiple functional columns, all reporting to the Chief Development Officer. The department includes approximately a dozen important roles whose functions, efforts, and opportunities overlap and vector towards the goal of raising funds per our board approved budget. This is an exciting opportunity to lead and excel individually and to collaborate with other professionals to innovate, assure sustainability, and facilitate planned growth for an organization that is leading in its neighborhood and the Los Angeles nonprofit sector.

Reporting directly to the Senior Director of Engagement, the Events Manager oversees and coordinates across departments to produce mission-driven community events and fundraising events that generate a significant portion of the agency’s total revenue. The Events Manager is a key collaborator who builds relationships both internally and externally to ensure the production of high-quality events. The Events Manager will strengthen and expand A Place Called Home’s event capacities and fundraising capabilities to meet A Place Called Home’s fundraising goals as per a Development Plan with short- and long-range goals and in alignment with the agency’s overall Strategic Plan and goals.

Essential Duties and Responsibilities:

Develop, strategize and implement a robust calendar of high-quality and well-produced fundraising events to raise funds and increase organizational visibility, including annual signature events – Gala for the Children and GirlPower Awards Luncheon – as well as other events (some produced and/or hosted by 3rd party supporters).

Oversee the planning and execution of APCH-branded events, some of which may include utilizing various platforms to simulcast our live events for guests and sponsors that opt to view the events online; coordinate the efforts of multiple partners including professional fundraisers, vendors, Program staff and others to ensure a seamless production experience in alignment with our approved event templates; file appropriate paperwork with City for fundraising events;

Develop concepts for and produce new fundraising events in collaboration with other development team members and cross-departmentally, as needs and opportunities arise.

Work closely with the CEO, CDO, Sr. Director and others to recruit, manage and support event volunteer Chairs, committee members, vendors, staff members, interns, and honorees and their representatives.

Provide project management and support to the Sr. Director, Director of Development, CDO and others in cultivating relationships, soliciting event sponsorships and ticket-sales and fundraising activities, including developing marketing and program collateral, identifying prospective supporters and soliciting sponsors.

Collaborate with Programs staff to produce mission-related community events, including holiday events, our annual Comic Art and Literacy Expo, family Movie Nights, distribution events, and other events

In collaboration with the Sr. Director, prospect and cultivate corporate partnerships to secure sponsorships, marketing/PR, and volunteer opportunities associated with events

Collaborate with the Communications team to plan for and produce event collateral, marketing and promotional materials, social media and web content to support event goals; manage post-event follow ups and communications in collaboration with the CDO, Sr. Director, Comms team and others

Provide exceptional project management, schedule and facilitate event-focused meetings, maintain accurate records and regularly identify opportunities for improved fundraising and donor engagement via events

Maintain and update the APCH events manual and planning documents as needed

Work closely with the in-kind donation team to fulfill materials needed for events, and the Volunteer Manager for talent and volunteers to support event logistics

Develop and manage budgets and closely monitor all expenses related to events with oversight from the Sr. Director of Engagement

Because data hygiene is everyone’s responsibility, work closely with the development processing team to ensure event guests are properly documented in Salesforce, ensure that all pledges are properly documented and paid in full, and ensure that all event related donations are properly acknowledged.

Develop and disseminate appropriate post-event reports to relevant stakeholders including the CEO, CDO and board of directors

Deploy agency-assigned project management tools (currently Airtable) and other tools to mount events and coordinate across teams

Serve as a key agency ambassador during events, site tours and other donor engagements

Other mission-related duties as assigned by the Senior Director of Special Initiatives and External Relations and the Chief Development Officer.

The ideal candidate is tech-savvy and has extensive experience with contact management software and project management tools. Additionally, they have a strong commitment to personal and team excellence, innovation and constant growth and improvement.

They have proven fundraising skills, especially in the area of high-quality fundraising events. A sense of enthusiasm for fast-paced work environments and a sense of urgency around established goals and deadlines is mandatory. As well as a track record of successfully providing effective leadership for event staff, vendors and volunteers.

The Ability to think strategically and creatively, as well as to innovate, implement and follow-through on tasks is important to success in this role. As well as a deep appreciation for and personal interest in the APCH mission and community.

Excellent oral and written communications skills, and the ability to be a compelling advocate and ambassador for A Place Called Home are essential. The ideal candidate is a team player with personal attributes of honesty, integrity, persistence, flexibility, enthusiasm, curiosity, accessibility, commitment to high team morale, open communications, transparency and self-awareness. Sense of humor and ability to have fun under pressure are major assets. Availability for some evening and weekend activities throughout the year. Knowledge with using online event registration platforms, seating charts, silent auction platforms, etc.

Performance Deliverables in Addition to Regular Duties

45 Days

Review current Events Planning documents and work with Senior Director of Special Initiatives and External Relations to update, improve and implement new policies, procedures and manuals for event planning and execution

Establish timelines and vendor meeting schedules for Q2 and Q3 events

Mount Q2 and Q3 community events

Participate in Q2 and Q3 internal program-led events such as Comic Art & Literacy Expo & Health and Garden Expo. Other program-led events might arise, as well as ad hoc activities

Play an integral role in the development of the annual Gala. Manage logistics, vendor relations, ticketing, and auction support. Please note:

In an effort to reach a wider audience we plan to simulcast our in-person live events so that people have an opportunity to view APCH events from the comfort of their homes.

90 Days

Establish working rapport with Board members and Leadership Council members on event committees

Successful execution of Fall events such as Thanksgiving, Joy to the Holidays and Family to Family

Lead planning for Spring 2022 events

120 Days

Plan & Execute Q3 & Q4 outward facing community events such as Cinderella & Prince Charming Project (currently being rebranded), and the GirlPower Awards Luncheon.

Collaborate with supervisor and program counterparts to develop internship and training pathways for APCH high school and college students interested in exploring event management and

Education/Training/Experience

Bachelor’s Degree or Equivalent Experience

3-5 years in related field
