EPIC Manager

OverviewThis position will be responsible for overseeing assigned staff, systems and functions supporting the Epic system.

This role addresses the implementation, support, and maintenance of relevant Epic modules in collaboration with the other peers.

The Manager enables the users to fully maximize system capabilities to meet the organizational goals of quality patient care, cost containment and operational efficiency.

The position has an in-depth understanding of the integration among various Epic modules and integration with non-Epic systems.

In conjunction with the other Managers and Leads, the Lead participates in evaluating and development of the staff and provides guidance.ResponsibilitiesImplement appropriate service delivery models for core application functions in defining, delivering, and improving services for the organization.

Be responsible for working with staff in ensuring adherence to standards, and continuously evaluating the effectiveness of application systems.

Maintain in-depth clinical and operational workflow knowledge in area of specialty and demonstrate expertise.

Serve as a resource and coach for staff and influence the workforce to achieve high level of performance.

Assign and prioritize tasks and projects and coach and mentor with individual team members to build skills.

Develop, publish and implement workflow documents for new, existing and upgraded clinical applications.

Incorporate change management principles to facilitate workflow and business process changes, ensuring the success and optimization of new or upgraded clinical applications.

Fulfill multiple roles throughout the development, implementation, management, and on-going support of clinical applications.

Promotes future and present system functionality by testing the clinical application systems.

Will assist application support teams in the timely completion of work orders and ensure that all work order components are met for each request.

Monitor timely completion of the Epic application team work orders by using the IT tracking and reporting tools.

Responsible for the preparation of clinical application workflow documents to ensure easy understanding by Information Technology developers, Technical Training Unit (TIU), Quality Performance Improvement (QPID) Departments and other relevant customers.

Disseminate the workflow documentation with TIU, QPID and other customers to facilitate the development of consistent and accurate training materials.

Leads conversations with Operations functions around proposed workflows as executed within Epic and third party integrations.

Responsible for the preparation of the agenda, minutes and support documents needed at relevant meetings.

Identify system optimization and enhancement opportunities and collaborate with vendors and other IT analysts in order to design and implement effective solutions.

Provide ongoing troubleshooting, support, and maintenance of applications; including on call coverage as required.

Establish working relationships with end users, department heads, clinic administration and senior management.

Provide leadership and mentoring to team members to ensure the goals, expectations, and policies of the department and organization.

Actively participate in staff recruitment and retention activities.

Other duties as assigned.QualificationsBachelor’s degree or equivalent work experience preferred Minimum of 6 years of experience in a position that had the same or similar primary duties in a healthcare setting, which should include database and data analysis technology, as well as project management tools Minimum of 6 years of experience supporting clinical Operations and/or systems experience required, such as billing, patient flow, scheduling, access services, health information management or other support functions in a healthcare organization A minimum of 5 years of experience in a leadership position or coordinating efforts and mentoring more junior staff members’ Epic certification required.

Alternatively, EPIC Credentials with the ability to secure the EPIC certification within the first 6 months of employment.

Familiarity with process improvement techniques such as LEAN, six Sigma, API, etc.
