The Director of Facilities is responsible for maintaining a clean, safe and well-maintained campus. The Director is responsible for managing the physical plant as well as campus safety and security, grounds keeping, maintenance, custodial services, budgeting and planning, and various facilities projects. The Director of Facilities reports to the Director of Finance and Operations and works closely with the Head of School.

RESPONSIBILITIES:

Campus Facilities

  • Accountable for daily operations of the physical plant, ensuring pleasant communications manner and customer service-oriented relationships with faculty, staff and visitors. Oversees campus visitor log, making sure that all visitors follow the established campus protocols and have a confirmed need to physically be present on-campus;
  • Plans, manages and oversees facilities and equipment for campus daily use and from inception to completion for special events, meetings, and the like;
  • Oversees work order management and reporting system to ensure items are attended to efficiently and completely – notifying the requester when the job is completed and/or issue is resolved;
  • Solicits, reviews bids and negotiates contracts with vendors;
  • Coordinates lock and key needs and maintains distribution of keys, door locks and pad locks on campus; and
  • Stays abreast of the changing needs of the School’s curricular, extracurricular, event, and summer programs to respond timely and appropriately to any necessary requirements and needs for facilities operations.

Preventative Maintenance

  • Manages, plans, and oversees a regular schedule of short and long-term maintenance of campus buildings/facilities and equipment including HVAC, lighting, elevators, and others;
  • Maintains an adequate inventory of all necessary supplies and parts on-site; and
  • Manages tracking system for regular preventative maintenance schedules and ongoing requests.

Campus Security and Safety

  • Oversees and manages overall campus security and safety program and establishes and maintains security requirements and safety protocols;
  • Develops and maintains school safety program for students and employees, including the risk management plan and the Illness and Injury Prevention Program (IIPP) in conjunction with the school nurse;
  • Serves as a strategic partner in the school’s Emergency Preparedness and Response programs in conjunction with the Head of School, Director of Finance and Operations and other school administrators;
  • Works with Emergency Response Coordinators to develop and manage Emergency Response Plan (ERP), including facilitation of monthly drills;
  • Maintains appropriate stock of emergency supplies and equipment;
  • Oversees the School’s Fire/Life/Safety ensuring standards are met, updated and maintained;
  • Provides first response for all campus facilities-related emergencies, on-call 24 hours a day, seven days a week, for alarm and facilities-related emergency needs;
  • Serves as a liaison to police, sheriff, and fire department personnel; and
  • Manages School’s federal and state regulatory compliance requirements, including Cal/OSHA, Los Angeles County Water Boards, building codes, and all others.

Budgeting and Planning

  • In collaboration with the Director of Finance, prepares the annual facilities budget;
  • Manages the facilities budget on an ongoing basis, including accurate tracking and forecasting expenditures; and
  • Provides support for Board Committee, Emergency Response Team, and other committees and attends such meetings, as required.

Head of School Residence

  • Works with residents to ensure landscaping requirements are met;
  • Ensures all security and safety equipment is working properly, including monthly testing of equipment;
  • Ensures wireless technology and Internet is working properly and efficiently;
  • Plans maintenance schedule for HVAC systems, landscaping replacement, tree trimming, painting, and other items, as needed;
  • Arranges for and manages repair projects in regards to electrical, plumbing, appliances, and others; and
  • Oversees and coordinates set-up for onsite school sponsored events in conjunction with the Director of Advancement and Head of School.

General Management

  • Supervises Facilities staff, conducts annual performance reviews and ensures that staff follow school guidelines as noted in the employee handbook;
  • Prepares, updates and regularly communicates monthly schedules for security, grounds keeping, maintenance and janitorial staff;
  • Provides general supervision and project management to facilities-related trades as needed including outsourced landscaping;
  • Establishes and appropriately adjusts the timing of work and procedures to meet scheduled work requirements;
  • Addresses, analyzes and resolves facilities issues and problems; and
  • Additional duties, as assigned.

Bachelor’s degree and 8+ years of facilities management experience in a similar environment including maintenance skills and emergency preparedness operations. Ability to respond and effectively communicate firmly and calmly with campus constituents, colleagues, direct reports and visitors. Acts authentic and uses discretion when communicating verbally. Strong technology skills – Microsoft Office email, Word and Excel.
