Position Purpose (Definition/Summary) The Associate Director of Property Management will assist the Director of Property Management and Facilities Services plan, organize and direct all property management functions. The selected candidate will be responsible for supervising the property management staff. The ideal candidate will be responsive to resident and staff needs and will demonstrate sound property management and residential services judgement. Essential Duties Oversee the day to day administrative duties of the Property Management division. Monitor department compliance with contracts, including conducting regular file audits and monitoring other building systems, such as tenant complaint and turnover processes, key protocols, etc. Responsible for directly supervising Senior Property Managers: provide leadership, coaching, and training to Property Management staff. In conjunction with direct reports, ensure properties are clean, safe and in excellent physical condition; oversee property condition and overall appearance. Review, approve, and/or seek approval of expenditures within specified budgetary guidelines. Makes regular visits to each portfolio property to ensure compliance with company policy and to review operations. Conduct meetings with staff and ensure appropriate trainings are carried out as needed. Assist with the preparation of monthly operating reports such as occupancy, turnover, marketing, rent collections, etc.; Provide explanations, if necessary, for any discrepancies that may arise. Assist in the development of property management budget. Ensure property management procedures are up to date and followed by Property Managers. Ensure compliance with all Housing regulations. Meet with residents formally and informally to provide prompt resolutions to complaints and issues. Identify and implement processes that improve operations and increase efficiency. Maintain effective communications with Property Management Director; maintain appropriate documentation of all critical items. Assist with marketing and lease-up efforts for all properties.
