Coordination and completion of projects across various functional areas. Typically, employees in this function are working towards or have achieved certification in project management. Provides subject matter expertise in areas including project scope definition, risk identification, project methodology, resource allocation, facilitation, and other areas of expertise based on established project management techniques. Makes presentations to management on project updates, project cycle, and expected results. Ensures projects are completed on time and in scope. May manage vendor and service providers to define project scope and performance expectations. Incumbents maybe part of a project management office (PMO) in their business.

Project Management roles specific to a particular functional area should be assigned to that family where appropriate (e.g. IT Project Managers should be placed in the IT Family).

Job Scope and Guidelines:

Primary Responsibilities:

  • Define/Manage Project Scope

          o    Lead or contribute to the development of program or project scope statements, in consultation with applicable stakeholders (e.g., program/project charter, Statement of —Work, Business Vision Document)
         o    Ensure alignment and understanding of program/project scope and objectives with the organization’s strategic objectives and the Voice of the Customer, in consultation with applicable stakeholders
         o    Raise awareness of any misaligment or misunderstanding of project scope and objectives with applicable stakeholders
         o    Ensure that all impacted areas are identified, and that appropriate resources are engaged to participate in the scope definition process
         o    Ensure that project scope, requirements and approvals comply with current governance guidelines and methodology (e.g, Clinical Design Guidelines)
         o    Monitor scope requirements and identify scope-related gaps and issues
         o    Ensure that all project dependencies/linkages are identified (e.g., hardware, software, licensing, PRDs, budgets, timelines, regulatory due dates, contracts/NDAs, cross-project dependencies, implementation timelines)
         o    Obtain agreement on project scope from applicable stakeholders, and ensures that requirements sign-off is obtained
         o    Ensure that all project deliverables and success criteria are identified
         o    Manage/support project scope and objectives throughout the project lifecycle, as needed (e.g., revised scope definition, scope creep)
         o    Establish/implement/comply with change management processes to drive effective project execution (e.g., launch, deployment, revisions, change control)

  • Manage/Control Project Timelines and Resources

         o    Identify project duration, effort, sequence, and dependencies of tasks required to meet applicable project objectives
         o    Develop and maintain detailed project plans (including resource assignments, schedules, dependencies, etc.)
         o    Work with resource managers to drive the identification of the skills, duration and effort required for successful project execution (e.g., resource demand planning)
         o    Ensure that resources are acquired to meet project requirements, escalating for assistance where gaps exist
         o    Ensure that project schedules include all tasks and activities necessary to achieve project objectives
         o    Align resource requests with available funding and forecasted FTE allocations, identifying gaps for escalated resolution
         o    Obtain agreement from applicable stakeholders on schedule, time management and resource plans, and negotiate changes/adjust project plans as needed
         o    Provide project direction and performance feedback to the team or their leadership throughout the project, as appropriate
         o    Monitor and report progress throughout the project life cycle, using appropriate project planning and scheduling tools (e.g., dashboards, metrics)
         o    Identify and forecast variances and trends throughout the project lifecycle to ensure that project schedules and resource requirements are met (e.g., forecasted project plans/ schedules vs. actual project status)
         o    Ensure that schedule and resource changes are aligned with project scope, objectives, constraints and risks
         o    Ensure seamless transition from project implementation to the business (e.g., operations, account management)

  • Manage/Control Project Financials

         o    Collect, analyze and maintain financial forecast information (e.g., labor, hardware, software), using input from applicable sources (e.g., resource managers, project managers, application planners, system architects)
         o    Develop/contribute to project budgets and forecasts, obtaining approvals from applicable stakeholders (e.g., cost/benefit analysis, capital planning, staffing impact analysis/assessment)
         o    Drive/participate in the capital request process, as appropriate (e.g., presentations, cost-benefit analysis, business case)
         o    Manage project budgets and ensure appropriate cost controls
         o    Identify/approve procurement needs for external resources (e.g., software, hardware, contractors)
         o    Monitor/analyze/approve invoices and actuals against established project plans and budgets to identify variances and their causes, and communicate to applicable stakeholders as appropriate
         o    Ensure adherence to project budgeting strategies and cost management plans
         o    Conduct reviews of budget variances with applicable stakeholders to identify causes and develop options for resolution
         o    Identify/implement adjustments to project/program forecasts and budgets, obtaining appropriate

  • Manage Project Quality

         o    Apply project life cycle methodology and tools (e.g., Microsoft Project) to drive project quality
         o    Establish/apply quality objectives, criteria, standards and levels using appropriate quality management methods, with input from applicable stakeholders (e.g., key performance indicators, scope definition)
         o    Ensure that all project deliverables are in compliance with applicable standards and regulations (e.g., data security, HIPAA, federal/state regulatory requirements)
         o    Monitor and document project milestones and outcomes throughout the project lifecycle to ensure adherence to established quality standards
         o    Ensure that all project deliverables are on track throughout the project lifecycle, and take appropriate action when needed
         o    Manage/monitor the testing process, and ensure defects are closed prior to deployment
         o    Manage/ensure proper release/deployment/functionality of the project (e.g., post-implementation testing, auditing, reporting)
         o    Ensure that controls are identified and operationalized to allow benefit tracking and reporting
         o    Monitor project results going forward and ensure that the project is delivering the expected benefits to the business, obtaining feedback from stakeholders as appropriate (e.g., benefit management)
         o    Identify root causes of substandard project outcomes and recommend appropriate resolutions
         o    Analyze project outcomes and make appropriate recommendations to improve project outcomes/processes going forward (e.g., stakeholder satisfaction, lessons learned, project team member performance)
         o    Define/implement appropriate actions to drive process improvement going forward (e.g., repeatable processes, feedback loops, cross-project improvement opportunities)
         o    Ensure that new/revised business processes/procedures are documented/updated/approved, as needed (e.g., process flows, SOPs, job aids, training guides) and meet quality/repository standards (e.g., SPARK)

  • Assess/Manage Project Risks/Issues

         o    Identify/prioritize potential risks/issues in a timely way throughout the project life cycle
         o    Establish/apply risk/issue analysis methods, techniques and tools (e.g., impact assessment, ranking and mitigation)
         o    Ensure adherence to established risk management approaches to identify, analyze and mitigate project risks/issues, as applicable
         o    Develop, communicate and implement program/project risk/issue management plans and strategies (e.g., mitigation, avoidance, transfer, acceptance)
         o    Develop/implement contingency and recovery plans when deliverables/milestones are missed (e.g., identify critical path, document plan for getting back on plan/schedule, Business Continuity Plan, failover planning)
         o    Develop/monitor/maintain applicable risk/issue logs (e.g., IRAAD)
         o    Review/monitor project progress and outcomes throughout the project lifecycle to identify emerging risks/issues
         o    Analyze and ensure resolution of identified risks and issues, collaborating with and obtaining approvals from applicable stakeholders as needed (e.g., root causes)
         o    Communicate project risk/issue events, responses and results to applicable stakeholders (e.g., project team, leadership, business partners)

  • Manage Project Relationships and Communications

         o    Develop, document and implement project communication plans (e.g., stakeholder communications)
         o    Manage/coordinate communications among all applicable stakeholders (e.g., approval processes, governance committees)
         o    Develop/maintain definition of project roles/responsibilities, and communicate to project participants (e.g., RACI matrices)
         o    Establish, develop and maintain effective relationships with applicable project stakeholders (e.g., project team members, team leads, internal customers, functional SMEs, business partners, leadership)
         o    Manage vendor relationships and/or obtain required contract approvals, as needed
         o    Recognize/celebrate project team contributions throughout the project
         o    Resolve conflicts among project participants using appropriate influence techniques, escalating to others as needed
         o    Provide/ensure training to applicable audiences, as needed (e.g., process training, tool usage, project management methodology, change management)
         o    Develop/generate/distribute project reports/documentation to applicable stakeholders (e.g., project status, metrics, outcomes, issues, risks, opportunities)
         o    Establish/implement plans for ongoing project documentation storage (e.g., project repository management, documentation management)
         o    Utilize appropriate communications tools/techniques to ensure understanding and buy-in from applicable stakeholders (e.g., executive summaries, key milestones, “4 blocker” summaries)

Required Qualifications:

  • Advanced knowledge working in architectural and design-related computer modeling programs (e.g., AutoCAD, Revit, Bluebeam)
  • B.A or B.S. in Architecture, Interior Design, Project Management or Construction Management, or combination of education and experience
  • 5+ years of experience in a professional design firm with significant project management, design, or project planning experience
  • Ability to maintain detailed records and manage multiple priorities
  • Excellent knowledge of building and zoning requirements, state and federal laws governing construction design including the Americans with Disabilities Act
  • Advanced knowledge of architectural design and construction methods.  Ability to evaluate existing building for structural integrity and design adaption
  • Ability to provide leadership necessary to ensure a positive team approach
  • Ability to work remotely in a virtual team within a matrix reporting relationship
  • Some travel required

Preferred Qualifications:

  • Registered Architect or licensed Interior Designer 
  • Working experience within a real estate group or construction management firm is valued. (Planning, Projects, Transactions, Facilities, Legal)
  • Demonstrated ability to succeed in ambiguous and non-mandated environments with track record of being an enthusiastic and effective team player with experience of leading and influencing internal and external resources to ensure successful outcomes
  • Experience working with real estate teams, and with lease documentation
  • Healthcare experience 
  • Self-starter, highly motivated individual
  • Problem solving skill set and great organizational skills
