Work Schedule:
This is a full-time, fully benefited position. Monday – Friday 8:00 a.m. to 5:00 p.m., exempt position.

Salary Range
: Salary is commensurate with qualifications and experience.

Position Summary:
The Accounts payable supervisor is responsible for activities and operations in the accounts payable functions for the organization. Analyze invoices, travel expenses, and independent Contract agreements to ensure accuracy, eligibility of payment, and compliance with UAS policy. Ensure payments are following Federal and state regulations. Review payments ensure timely payments for vendor invoices and purchase orders. Prepare accounts payable register and manage aging report. Responsible for the supervision of Accounts Payable staff.

Essential Functions:
  • Supervise Accounts Payable staff and activity for Campus Programs, Grants and Contracts, Buildings, LA BioSpace, Children Center, and Administration.
  • Review check requests, purchase orders, and vendor statements reconciliation.
  • Analyze invoices, travel expenses, and independent contract agreement to ensure accuracy, eligibility of payment, and compliance with UAS policy
  • Audit to ensure accuracy and support documentation in compliance with UAS’s policy /procedures, IRS, and California BOE regulations.
  • Audit account signature and balance verification.
  • Monthly reconciliation of includes accounts payable to G/L reconciliation, A/P aging report, and Purchase order reconciliation.
  • Federal and State filing requirements for:
1099 Reconciliation and processing
Non-resident Withholding Tax (592) Reconciliation.
Independent Contractor Reporting form (DE 542) Reconciliation.
Foreign Persons Annual Withholding Tax return 1042 Reconciliation.
  • Procurement card processing and monthly reconciliation.

Other Functions
:
  • Perform assigned functions related to month and year-end closing.
  • Other duties and special projects as assigned.

Accounting Manager

Supervision Responsibilities:
The Accounts Payable Supervisor is responsible for activities and operations in the accounts payable functions for the organization. Analyze invoices, travel expenses, and independent Contract agreements to ensure accuracy, eligibility of payment, and compliance with UAS policy.

Contacts:
Internal: Administration staff, and UAS operation staff
External: university personnel, suppliers, and vendors.

Accountability:
Performance is evaluated on the achievement of individual goals and objectives, the accuracy of analysis and verification of data, and the performance of job duties as related to the accounts payable staff.
The performance will also be evaluated on the demonstration of skills in areas of communication, supervision, and administrative responsibilities.

Minimum Qualifications:
Education:
Associates’ Degree in Accounting or related field.

Experience:
Three to five years’ experience, accounts payable, general ledger, training, and supervision.

Knowledge:
Computer literate (Excel and Microsoft Word)
Experience in People Soft Highly Preferred
Excellent verbal and written communication.

Essential Physical Requirements:
1. Corrective vision to normal visualization to review, analyze, and approve documents, reports, and other accounting-related data;
2. Ability to communicate verbally;
3. Hand and finger dexterity to operate 10 key adding machines, typewriter, computer, and other office equipment;
4. To perform the essential duties of this position to standard, consistently for a minimum of eight (8) hours daily;
