Transportation Rental Coordinator – Sun Valley, CA

Job Description Quixote Studios, one of the nation’s premier film and television studios, is looking to add an entry-level, full-time Rental Coordinator at our Sun Valley location. This position will be responsible for assisting the Sales & Operations teams with administrative duties, as well as, build and maintain internal and external client relationships. The Rental Coordinator will take lead on communications with other departments to ensure clients’ expectations are surpassed. The ideal candidate is service-minded, possesses exceptional administrative skills, and thrives in a fast-paced environment. Administrative Responsibilities include, but are not limited, the following: Research leads and upcoming productions utilizing different resources such as: trades, industry contacts, production leads, and industry websites Partner with Bookings team to formulate all RFP’s and bids utilizing the internal database and prepare final presentations Prepare in-depth MS PowerPoint presentations for management/client meetings Obtain all pertinent information from the client regarding their rental needs and present the information to the bookings team to complete the rental process Set-up new accounts, obtain insurance certificates, scan and file all digital documents in the appropriate database, inform the internal team of birthdays/anniversaries, manage D-TV cards and units, manage contracts and related paperwork for all outgoing units, and print and distribute reports daily and as necessary, maintain confidential files, and manage internal roster and contact list All other duties as assigned Client Relations Responsibilities, include, but are not limited, the following: Manage the front lobby by greeting all internal and external clients upon arrival to the facility Familiarize oneself with all internal employees, transportation coordinators, and the Quixote client base to ensure an exceptional facility experience Learn and understand the business as it relates to the vehicles and motorhomes to assist in client education of Quixote’s offerings Answer all incoming phone calls and transfer to the appropriate department based upon the clients’ needs/requests Follow-up with internal departments to ensure client inquiries/issues were addressed and resolved Prepare and distribute Quixote branded materials and informational packets to all visitors Schedule and manage on-site client visits and vehicle tours by partnering with internal departments to ensure a safe and well-organized client tour All other duties as assigned Skills & Qualifications: This job requires you to be fully vaccinated for Covid-19, subject to reasonable accommodation for medical or religious exemption 2 years of recent Administrative/Customer Service experience in an office setting Proficiency with MS Word and MS Excel Ability to type at least 45 WPM Must have strong attention to detail and organizational skills. Ability to meet deadlines. Demonstrating accuracy in the execution of assigned tasks Ability to anticipate needs and adapt to changes in a high-volume environment. Must be reliable, professional and possess good judgment. Must have strong interpersonal skills and effective, clear communication skills. Must have a flexible schedule with the ability to work overtime as needed. Ability to successfully pass a drug screen and criminal background check. Must be authorized to work in the United States. High School Diploma or GED required A working knowledge of production equipment and entertainment industry preferred.
