JOB SUMMARYProvides general administrative support and workplace services to an office or group of sales professionals. Collects, compiles and analyzes moderately complex data and information. Composes straightforward written descriptions of results. As part of a front-of-house team, creates a warm, supportive atmosphere by supporting employee-facing services, welcoming visitors and other service-based tasks as needed.ESSENTIAL DUTIES AND RESPONSIBILITIESGathers supporting documentation to complete voucher forms and process Brokers’ commission payments while abiding by company accounting policies as well as local and national laws.Maintains CBRE brand, product, office, and client messaging and consistency by applying templates to produce marketing materials including flyers, proposals, tour books, maps, floor plans and qualification packages. Package marketing materials for meetings, including copying, printing, and binding.Answers, screens and directs incoming telephone calls. Responds to general inquiries and provides information as needed, while maintaining confidentiality of Sales, Marketing, Client and proprietary information and data in all communications.Assists the Workplace Experience leadership team with general administrative support. Requests building and/or equipment services as needed.Reads and routes incoming mail. Composes and prepares routine correspondence, faxes and emails for sales professionals.Maintains and updates relevant databases and assists with website updates.Organizes and maintains filing system, file correspondence and other records. Keeps inventory of supplies and orders supplies when needed.May coordinate schedules and appointments and conference rooms for sales team members.Maintains relationships with vendors that provide services and goods to the office, including the catering of events.Manage Business Service Center. Ensuring copy machines, binding machine and other equipment is in good operating condition.
