Sales Operations Specialist

Overview The Sales Operations Specialist supports the sales organization by collecting, analyzing, and disseminating sales related data and by managing key back office revenue related processes.

The position is required to interact heavily with the sales team to determine what gaps in available resources exist and need to provide the necessary tools and services for sales team.

It is also an important point of contact for new department hires, and some cross functional processes.

This individual will focus on building both enablement initiatives and operational initiatives that improve efficiency of a rapidly growing team.

The successful individual will be comfortable assisting with planning large scale events, morale booster initiatives, and departmental human resources administrative tasks.

This individual is also interested in learning about the e-commerce and shipping industries and influencing the management toward initiatives that drive sales revenue.

The position reports to the Senior Manager, Sales Operations.

Team Overview The Sales Operations team supports the Sales representatives with assisting the development and implementation of operational strategy, reporting, automation, field needs, channel requirements and annual conference.

Responsibilities Support Sales group reporting and analytics needs.

Support the Account Management Team’s data needs.

Provide general administrative support.

Monitor and manage Sales and Channel Partner communications.

Knowledge Base maintenance.

Tools management.

Onboarding management.

Event Planning.

Essential Position Duties: (typical monthly, weekly, daily tasks) Support Sales group reporting and analytics needs.

Produce sales trends, pricing, revenue performance metrics, product performance, and other sales-related statistics that drive sales.

Pull data and manage sales leader monthly performance reports.

Create reports/dashboards in Salesforce based on the sales team needs.

Respond to and manage channel reporting needs.

Review process gaps and present solutions for improvements.

Service ad hoc report requests as needed.

Support the Account Management Team’s data needs.

Administer necessary tools and services for the sales team, for onboarding, operational or sales enablement initiatives.

Managing sales data within SFDC by assisting with lead assignments and minor field updates.

Manage and organize sales collateral for access by the reps.

Sales Forecasting and pipeline management.

Assist management with defining and refining structured sales processes for efficiency.

Using internal data along with market and competitor research, to develop competitive insights and operational process improvements.

Schedule sales teaming training and assessments of processes and products.

Generate sales performance data and distribute as needed to team members.

Develop a deep understanding of internal tools and tech support services, to analyze opportunities and inform account managers of upsell opportunities.

Track sales team cadence metrics.

Provide general administrative support.

Assist with enablement initiatives that improve training processes for sales team.

Assist with operational initiatives that improve departmental efficiency.

Triage sales rep requests and provide cross functional support to Product, Legal, Business Services and Commerce teams.

Work with cross functional team to process client Invoice requests and API agreements.

Manage vendor agreements via DocuSign and other company software to ensure company’s interests are protected.

Monitor and manage Sales and Channel Partner communications.

Facilitates USPS communications.

Triage and prioritize requests and responses and delegate to appropriate responders.

Knowledge Base Maintenance: Maintain Operations team SharePoint.

Keep files organized, current, and relevant; following up with individuals as needed.

Assist in building and maintaining department’s Sales SharePoint knowledge base, updating SOPs, and collaborate with SMEs as needed to ensure content is current.

Tools management: Assist sales reps with basic tool requests, such as access issues, field updates, template updates Learn about new features of tools and work with management and CRM specialist to drive tool improvements.

Research company tools available that could be valuable to improving team processes Update management on status of critical Sales tools.

Onboarding Management: Executing company processes for sending welcome materials and setting up internal systems set up training for new hires.

Assist in creation of assessments to track new hire onboarding progress and identify areas for training optimization.

Event Planning: Assist in backend processes for events organized by the department (i.e.

annual sales conference, holiday party, training conferences) Drive team morale building events, researching activities that build rapport and employee retention Research, acquire, and manage awards or swag provided to employees.

Assist with initiatives focused on improving management productivity.

Education And/or Experience Bachelor’s degree or equivalent years’ experience.

Previous experience working in agile environments or willingness to learn.

At least Three (3) years’ experience sales operations support.

Previous experience with an e-commerce or SaaS-based company is preferred.

Previous experience working with scaling organizations preferred.

Computer/Software/Application Proficiency Microsoft Word, Excel, and Outlook com experience is preferred.

SharePoint, Planner preferred JIRA not required but nice to have SalesOptimize, Sales Loft, ZoomInfo, not required but nice to have Travel Requirements Less than 10%; Domestic travel to our Annual Sales Conference.
