Our client, a prosperous Century City real estate investment firm, is looking for an Executive Assistant to support the CEO. As the Executive Assistant to the CEO you will be responsible for a variety of tasks which will include but are not limited to heavy calendaring and scheduling, acting as the key liaison between the CEO and his direct reports, managing priorities, keeping CEO on schedule, communicating with internal and external audiences on CEO’s behalf, coordinating travel arrangements, processing expense reports, coordinating offsite meetings and team building events, support implementation of best practices for corporate policies and procedures and other various tasks. 

This CEO is very involved in several boards and has frequent meetings with city and government officials including the Mayor of Los Angeles. The ideal Executive Assistant will have strong business acumen and have a minimum of five years of experience dealing with high level contacts (both internal and external). 

We are looking for an Executive Assistant who thrives being the right hand person to a C-level executive and can think three steps ahead of him. The ideal Executive Assistant will have at least five years of recent C-level support experience for a mid to large sized company, experience in the real estate industry is a plus. 

We are looking for a true career executive assistant who can manage multiple deadlines and is highly organized. You will be an expert in managing work flow and will be an excellent gate keeper. The typical business hours are 8:30-5:30 but this is a position where you will be expected to be available 24/7. There is also a strong personal assistant component to this job and you must be OK with tasks such as buying gifts, scheduling doctor’s appointments, running errands, banking and sensitive financial information, etc. You will be discreet, diplomatic and trustworthy. You will have access to financial and confidential information. The salary range on this position is $100-$125K plus bonus and excellent benefits.

Job Requirements:
– Microsoft Word experience highly desired

– Good understanding of MS Outlook

– Proven knowledge of Microsoft Excel

– Quality experience with conducting meetings

– Earlier work involving meeting coordination and planning

– Travel experience desired

– General familiarity with navigating basic office equipment and protocols

– Expense reports experience preferred

– Practical knowledge of composing various kinds of correspondence

– Well-founded grasp of working as an assistant

– Proficiency in calendar managements and scheduling appointments

– Wide ranging experience with conference call coordination

– Previous experience working with report generation

– Typing 45 – 60 words per minute experience

– Skills in internet research

– Excellent organizational skills, ability to multitask, an eye for detail and previous project management experience
