ABOUT US

A Place Called Home is a dynamic, non-profit youth and community center in South Central Los Angeles. APCH provides educational programs, counseling, mentoring, music, dance and art classes, fitness and health and wellness opportunities. As youth participate in our programs, they discover interests and talents and develop a better sense of themselves and their place in the world around them. Our goal is to increase the likelihood that youth will stay in school, pursue higher education, attain viable jobs, and become active community members capable of making positive change in the world in which they live.

Our mission is to serve youth and families directly and the optimal way to do that is in person. The majority of our positions require employees to work onsite at our facilities. We will always comply with or exceed government and public health safety mandates. Our priorities and policies to protect the safety and health of our staff and members may require special protocols on our campus and/or may require us to work remotely on a temporary basis.


APCH COVID-19 Vaccination Policy

A Place Called Home will be mandating COVID-19 vaccines for our staff. Consistent with our mission and values, and the duty to provide and maintain a workplace free of recognized hazards, A Place Called Home (“APCH”) has adopted this policy to safeguard the health and well-being of our staff and our families, members and their families, volunteers, vendors, and others who spend time on our campus, and the community, from the risks associated with COVID-19. All new hires must provide proof of their first dose of the vaccine on the first day of employment, if not fully vaccinated, and will have 30 days from their date of hire to complete their COVID-19 vaccination and submit proof of completion to the organization’s HR department.

Job Title: Higher Education Finance Coordinator/Scholarship Administration Coordinator

Department: Teen and Young Adult Services

Reports to: Associate Director of Teen and Young Adult Services

FLSA Status/Hours: 40 hours/week


Position Summary

The Higher Education Finance Coordinator is a detailed-oriented person with a passion to support young people on their path to pursue higher education. The ideal candidate has an aptitude for numbers and spreadsheets, demonstrates strong organizational skills and has a flair for spotting errors and maintaining accurate, updated records.

Under the direction of the Associate Director of Teen & Young Adult Services (AD TYAS), the Higher Education Finance Coordinator ensures scholars of the APCH Shaheen Scholarship Program receive their funds in a timely manner. They are responsible for coordinating the setting of allocations, administering checks, maintaining accurate records, and working alongside APCH members to develop plans to fund their education. This person works collaboratively within the Higher Education team to stay updated of scholar needs, eligibility, and to problem solve if any issues arise, and works with the Accounting and Development teams on alignment. The Higher Education Finance Coordinator is a key resource of the APCH Shaheen Scholarship Program and provides scholars with important information related to FAFSA, the APCH Shaheen Scholarship, and additional scholarship opportunities, while ensuring accuracy within the program budget.


Essential duties and responsibilities:

Scholarship Allocations

  • Conduct financial intake meetings with incoming scholars to determine financial need.

  • Collect and organize required financial information from all eligible scholars and trainees

  • Collaborate with Associate Director to set and track scholarship annual awards for scholars

  • With support from Associate Director, maintain the allocations database to log check requests, expenditures, and scholar information

  • Assign grants to scholar awards to ensure all funds are allocated appropriately

  • Synthetize scholars’ financial information to support financial projections and analysis of the scholarship program

  • Draft and send all award notifications to scholars

Scholarship Check Disbursements

  • Administer scholarship check requests with accurate check request cover sheet

  • Collaborate with Higher Education team to confirm funding eligibility of scholars

  • Collaborate with APCH Accounting team to add scholars to the vendor database, ensure all information is accurate, and to enroll scholars into the ACH payment portal

  • Communicate with university/college financial aid office to resolve any discrepancies and/or provide information for the scholars regarding their scholarship award

Monitor Scholarship Expenditures

  • Work in collaboration with AD TYAS, APCH’s Accounting department, and Development department to prepare, track, and reconcile scholarship program budget on a quarterly basis

  • Provide reports on grant balances and expenditures as needed

  • Responsible for updating the scholarship expense tracker to accurately reflect outflow

  • Monitor and follow up on uncashed/undeposited checks

Scholar & Trainee Support

  • Schedule and lead and/or support financial aid workshops for scholars

  • Research and share additional outside scholarship opportunities for scholars

  • Provide guidance when responding to questions related to financial aid, financial planning, and scholarship awards

  • Host workshops for parents to understand the financial and scholarship program processes

  • Meet with high school members to discuss questions related to financial aid and funding higher education

Teen & Young Adult Services

  • Support TYAS Department events, activities, and initiatives as directed

  • Collaborate with the IMPACT team to provide support for Opportunity Youth

  • Provide monthly metrics to AD related to the scholarship program

  • Support with Programs initiatives, such as Member Touchpoints and Kick Off Events


Other Non-Essential Responsibilities

  • Assist with the supervision of members during program hours, special events and field trips

  • Support all agency events, such as Thanksgiving and Home for the Holidays

  • Serve as a mentor and role model for members

  • Attend all required program meetings and events

  • Perform other tasks as assigned

The ideal Higher Education Finance Coordinator will be an individual who carries high personal and professional standards, can develop positive working relationships with teen and young adult members, approaches tasks with an attentive, meticulous eye, and can organize complex projects into manageable portions. This individual enjoys working with spreadsheets, large sets of data, and finds meaning in the numbers.

Education/Training/Experience

  • Associates Degree related to education, finance, accounting, public administration, or communications or equivalent experience

  • Two years experience working with teen and young adult population

  • Familiar with college funding and financial aid

  • Experience maintaining financial records

Physical and Mental Demands

  • Able to work in a dynamic and high noise level environment typical of a youth center

  • Walking, standing required on daily basis

  • Sitting and use of hands/vision for computer work for extended periods of time

  • Lift up to 25 pounds occasionally
