The Real Estate Specialist assists with the day-to-day operations of the Real Estate department. The Specialists assists the Director of Real Estate and establishes and maintains a comprehensive real estate database.  This position serves as the point of contact for outside counsel, real estate brokers, property managers and consultants in real estate-related matters.

Essential Duties & Responsibilities

  • Assists the Director of Real Estate with preparation for new stores, donation centers, and other locations using the agency’s real estate selection guidelines.
  • Sets up and maintains database of owned and leased properties in proprietary software.
  • Prepares lease abstracts for all locations.
  • Supervises the acquisition and maintenance of all permits, certificates of insurance, licenses, and governmental approvals.
  • Responsible for the preparation of outgoing correspondence and literature from the Director of Real Estate; composes letters and other business correspondence as requested by the Director of Real Estate.
  • Assists Director of Real Estate in compiling data and formatting reports; collates and otherwise prepares reports for distribution.
  • Serves as a liaison with outside legal counsel regarding routine real estate-related legal matters.
  • Assists with the preparation and maintenance of accounting records as required by the agency’s accounting, HR, and retail offices.
  • Approves the monthly accounts payable schedule for payments to property owners and ensures that they are in accordance with lease agreements. Works with the Business Office Team to audit rent payments on a quarterly basis, or as directed.
  • Works with property owners regarding Lessor’s and Lessee’s obligations, property management and construction issues, etc.
  • Works directly with in-house Teams and related parties to make sure that designated locations open on time. Prepares progress reports and abstracts as needed.
  • Attends in-house and external meetings as required.
  • Organizes and maintains Real Estate files.
  • This position requires local travel extensively (> 50% of the time), a valid CA driver’s license and state-required auto insurance.
  • Education & Experience

      Minimum 5years of commercial real estate industry experience preferred.Bachelor’s degree from four-year College or university preferred.Excellent negotiation, presentation and communication skills.

    • High-level integrity and customer service oriented.
    • Intermediate knowledge of computer programs in a Windows environment, including Word, Excel and E-mail.Current RE agent license helpful.

    • Must be a multi-tasker with attention to details.
    • Ability to work with minimal supervision.
