Property Coordinator

· Perform standard clerical tasks as needed (copying, filing, scanning, mailing, etc.)

· Manage front reception desk, answer phones and perform reception functions as needed.

· Monitor and maintain the property maintenance work order system and prepare monthly reports for the Property Manager on the status of tenant work orders.

· Prepare and code vendor invoices weekly for the Property Manager’s approval.

Follow up on any outstanding invoices or incorrect billings and resolve discrepancies in a timely manner.

· Track and file vendor contracts and insurance certificates maintain follow-up system for expirations.

· Assist Property Manager with annual budgets.

· Run reports as requested or required by the Property Manager.

· Prepare and distribute tenant memos and email notifications and assist with the implementation of tenant lease obligations.

· Follow up on all tenant requests to ensure satisfaction.

· Respond to tenant requests and needs and coordinates with the Property Manager to assist in resolving issues.

· Maintain tenant and vendor database.

· Assist with parking validations, card access requests, and fitness center waivers.

· Assist with special projects as requested and required.

EDUCATION AND EXPERIENCE

· BS/BA preferred

· 1
– 2 years of commercial real estate experience and GSA experience a plus

SKILLS

· Strong written and oral English communication skills.

· Strong Excel skills

· Some basic accounting experience.

· Knowledge of general office administration

· Familiarity with basic office equipment: copy machine, fax, printers, etc.

· Intermediate typing and computer skills: Microsoft Word, Outlook

· Proficient knowledge of Microsoft Word, Excel, PowerPoint, and Yardi (or other related property management software)

· Ability to review and understand service contracts and lease documents

HOURS

· 8 am
– 5 pm Monday
– Friday
