People Team Assistant

WHAT YOU’LL DO This role will join our West Coast (WC) Staffing team, which drives the team development of BCG’s most important asset – its people.

Our team is seeking a Staffing Assistant to provide critical logistical, relational, and administrative support.

This role is ideal for someone passionate about a career in the HR/People space, and who thrives in fast-paced environments while maintaining a keen attention to detail.

The Staffing Assistant will support the Talent Managers in the initial and end stages of the staffing process, will ensure accurate data management, and will liaise with other key Business Services teams.

This role will also develop meaningful connections with our consulting staff to facilitate a transparent and rapid flow of information.

This position can be based in any of BCG’s West Coast offices.

YOU’RE GOOD AT Staffing Process Support Provide support to the Staffing function by tracking casework assignments and billing arrangements for non-MDP partner consulting staff Request updated staffing bios from consulting staff and upload to individual BCG Navigator pages (intranet) Assist with searches for consulting staff with specific expertise for proposals and sold work Support new joiner onboarding process Act as the WC System’s Information Excellence (INFOex) Guardian, ensuring case teams have access to and use the case repository system to store their work and protect client data/deliverables Act as backup for People Team Specialist and Staffing team as needed Respond to special projects and other internal requests as needed Staffing System Data Management Maintain and update all individual staffing assignments, availability and related data in the Staffing database (SAM) Generate weekly consulting staff availability reports for the Talent Management and Staffing team; and maintain ‘base list’ availability to share with case team leaders and other offices Gather staffing data, analyze and prepare reports on consultant deployment and investments as needed Finance, CDC, HR & Information Management Liaison Coordinate with Managing Directors & Partners, local finance, and other North America offices Provide case codes, billing instructions and information to consulting staff and other North America staffers as needed Work with Talent Management and Finance team to review consultant billing discrepancies and leakage report each week and request corrections as necessary Communicate staffing updates to Finance and CDC team in real time Create Information Management (IM) teamsites for each new WC case Work with the IM team to ensure teamsites are opened and closed in a timely manner Information Excellence Guardian Learn about and then lead the awareness campaign on WC to support best practices on case document storage and data safety Analyze and evaluate WC compliance on case repository use, data archiving and cleanup of local data copies, supported by the Information Excellence team Liaise with Global and North America Information Excellence to escalate non-compliant case repositories Help case teams navigate the case repository system Regional Coordination Help facilitate the weekly WC System pipeline calls Make all necessary adjustments to the internal and published pipeline Occasionally represent New York and occasionally WC System on bi-monthly North America Regional Staffing calls Perform other duties and projects required YOU BRING Skills and experience: Bachelor’s degree required 1-3 years of administrative support or human resources experience, preferably at a professional services firm Competencies: Highly organized, attentive to detail Excellent written and verbal communication skills Excellent organizational and time management skills; ability to meet deadlines Numeric proficiency and experience managing financial data Proficient computer skills: MS Office with a strong preference for substantial Excel and PowerPoint experience Ability to successfully manage competing priorities, keeping constant sight of the overall objectives Ability to work effectively with all levels of the organization High degree of flexibility in a demanding, fast-paced and frequently changing environment Strong service orientation in responding to customer needs Ability to exercise judgment in managing confidential and sensitive information YOU’LL WORK WITH In this role, you will partner with the WC Consulting, Staffing & People Team Senior Director and the full WC Staffing team to support the consulting cohorts and BCG’s business.
