Job Overview Tontine is looking for an experienced, energetic and proactive Executive Assistant to support its CEO. If you’re organized, enjoy juggling many different responsibilities at once, and thrive in a fast-paced and entrepreneurial environment, this is the role for you. Attention to detail, the ability to multitask without letting anything slip, and the ability to navigate both corporate and personal environments are essential.

You must exhibit a demonstrated ability to perform duties with a polished level of professionalism, tact, discretion and judgement. While we expect a high level of accuracy, professionalism, and integrity, we also embrace humor, fun, and quirkiness in our employees.

Although this position can be performed remotely, you must be in Los Angeles in order to be considered.

Why This Role Is Exciting

  • You’ll have ground-level visibility into how the entire company operates from the eyes of the CEO. You’ll contribute, collaborate and coordinate between different divisions to ensure the train runs smoothly.
  • Go beyond normal EA tasks — you’ll have the opportunity to roll your sleeves up and contribute to different strategic efforts within the company, including HR, finance, and management of external vendors (legal, accounting, etc.).
  • If you continue to exceed expectations, you can expect to be promoted to the Chief of Staff role within 12-24 months.

Role

  • Handle confidential and non-routine information and facilitate communication between different divisions.
  • Conserve CEO’s time by reading and responding to correspondence; prepare emails, letters, documents, and assist with presentations.
  • Attend team meetings as needed, taking notes and tracking action items.
  • Anticipate the professional and personal needs of the CEO; plan ahead and be resourceful.
  • Act as the primary facilitator for all internal and external individuals on matters pertaining to access to the CEO; you are the local expert and go-to resource for general requests and questions.
  • Book and manage both professional and personal appointments, commitments, etc.
  • Document and maintain all such documentation of processes, SOPs, preferences, etc.
  • Take ownership and work independently on assigned projects from start to finish.
  • Manage high priority and confidential information.
  • Brainstorm possible solutions creatively before escalating matters to the CEO.
  • Plan and execute on ad-hoc personal and professional projects as necessary.

Requirements

  • BA/BS degree and 3+ years of administrative support experience.
  • The ability to maintain the highest standards of confidentiality.
  • Hold a valid driver’s license and have a safe driving record; ability and willingness to travel within Los Angeles to perform duties and tasks.
  • Demonstrate composure, tact, flexibility, and friendliness regardless of competing priorities.
  • Be available by cell phone and email past standard work hours (e.g. on weekends).
  • Strong attention to detail — being right the first time matters a lot to us.
  • Strong verbal and written communication skills; feel comfortable interacting with internal and external partners.
  • Comfortable in a fast-paced environment with multiple tasks and projects.
  • Able to perform all clerical duties, take memos, maintain files and confidential information, and organize documents as needed.
  • Experienced with the standard productivity suite (Slack, Zoom, Google Docs/Sheets, Excel, ClickUp/Asana, etc.).
  • Self-directed and able to work without supervision.
  • Comfortable in both a leadership and team-player role — able to manage team members, lead meetings, and supervise when needed.
  • Bonus basic knowledge of finance to reconcile expenses, assist with simple bookkeeping, etc.
