The Office Services Lead will be the go-to person for all things Office Services at the Manhattan Beach Center to ensure smooth day-to-day operations and consistently provide a high-quality experience for employees, guests, and clients.

This individual will work closely with the NAMR Office Services Manager, Center Lead, BCG Office Services, People & Talent team, IT and Strategic Programs teams in providing an exceptional office experience including all office services, local office affiliation events, guest and client experience.

In this role you will:

  • Be the go-to person, support guests, clients, venture teams, and employees to get what they need to succeed, whether that’s pointing them to the person who can help or actively supporting problem-solving with them.
  • Be the expert on all activities happening in the LA office
    – lunch and learns, guest speakers, affiliation group activities, social impact activities
    – and make connections and help make decisions with that knowledge.
  • Oversee the Manhattan Beach team to ensure execution of all general office services including reception, client experience, catering, mail services, supplies, and purchasing.
  • Manage the team to high performance by providing mentoring, timely performance feedback, and development as needed.
  • Ensure appropriate support level of office coverage ; manage schedule to cover for planned (vacation) and unplanned (illness, etc.) staff absences.

    Provide back up to Reception and/or Office Services Assistant as needed.

  • Be the point of contact for BCG Office Services and ensure you are learning from BCG West Coast offices and implementing best practices in our Manhattan Beach office.
  • Event planning and Execution including the execution of agreed local events in and outside of the center.

    Events will include coordinating with Strategic programs global/regional/local/BCG functions as appropriate (e.g., understand all DV & BCG global and regional activities and timelines to have the full picture of local employee experiences).

  • Coordinate and supervise Center client & guest experience to ensure a high-quality experience for all clients and guests including client tours in our space, onboarding of clients based in our centers, large client meetings, job candidates, and other key client or guest interactions with our centers.

    Assist guests and teams in Center as needed.

  • Being the go-to person, you enjoy helping people connect the dots and get to a solution.
  • Coordinate with local Strategic Programs Lead on center-based internal communications such as center newsletters, office-wide updates, internal digital signet, etc.
  • Constantly strive to improve through continuously bringing creative solutions and process improvements.
  • Space planning and management, including the coordination and communication of office seating assignments, venture team space assignments, and other key best practices for people engaging with the space (e.g.

    floating desk policies, etc).

  • Participate in BCG Office Services Team meetings and other activities as a part of BCG North America Admin Services team, ensuring we share BCG best practices, adopt policies and processes as relevant to DV.

    Monitor and keep current with developing regional and global policies, issues, and opportunities.

  • Assist Office Services Manager on Real Estate improvements or facilities needs as required, help to maintain general office cleanliness at all times.
  • Coordinates access to space in line with security policies including supporting established processes for new/replacement security cards, maintaining systems for accuracy, parking processes such as validation, communicating updates to building property management and Office Services Manager as needed.
  • Manage local vendor relationships with office vendors including coffee machine maintenance, plant vendors, and service vendors for office repairs and maintenance.

    This includes getting quotes and managing budget targets for Center improvement projects.

  • Direct line management of local Office Services team including Reception and local Office Services roles
  • Manage vendor relationships and liaise with property management to ensure the optimal functioning of building systems including mechanical, fire/life safety, elevators.

    Further manage service-related vendors for catering, equipment, supplies, maintenance, and other services and products, ensure all vendors are compliant with Vendor Management and DEI policies and framework.

    Ensure invoice accuracy for all engaged vendors.

You should have:

  • Strong organizational skills, project management skills, and attention to detail
  • Good judgment, strong interpersonal skills, and a collaborative style
  • Having the courage and confidence to speak up and share what you see will support us in creating an environment where people are comfortable, safe, and able to work at their best
  • Proven people management skills including coaching, feedback, and delegation
  • Written and verbal communication, with the capability to develop written content and communications for a broad audience (PowerPoint or other)
  • Proficiency in Windows, Word, Excel, PowerPoint, and Outlook
  • Previous experience in office services, events, or administrative roles preferred
