In addition to early childhood education, the program also provides health, nutrition, mental health, disabilities, and parent empowerment/involvement services. This program is funded and operated under Head Start, Early Head Start, State Preschool guidelines and regulations. PACE Early Childhood Education Program includes Head Start Center-Based Program that operates 14 school sites enrolling 870 children ages 3-5 and an Early Head Start Home-Based and Center-based Program enrolling 286 children ages 0-3 years and pregnant women. These services are provided in the metro Los Angeles, Santa Monica and South Bay communities.Job Purpose:Under the direct supervision of the Early Head Start Manager-Education Division, the Office Assistant – EHS enters information to the various systems and maintains the office files in order and provides support to Early Head Start program.POSITION RESPONSIBILITIES:* Enters program information into Child Plus database (including Education-DRDP 2015 IT, ASQ’s, IDP goals, Health Requirements, Nutrition, Attendance, and Family Service).* Attend LACOE Trainings as assigned and necessary.* Maintains children central office files and file documents, such as physicals, dentals & admission paperwork* Manages and maintains forms for EHS.* Assists in securing facilities for trainings and meetings.* Assists with maintaining office equipment and supplies for EHS, including inventory of materials.* Supports the recruitment and enrollment process, including registration of new/returning families at the family’s home or the school site.* General administrative and clerical support for EHS.* Prepare letters and documents for parents that pertain to EHS.* Receive and sort mail and deliveries.* Assist Home Visitors in scheduling registration appointments by contacting parents as needed.* Answer telephone, screen and direct calls.* Greet persons entering organization and direct persons to their correct destination.* Assist with inquiries from the public and customers.* Supports and ensures the achievement of recruitment and enrollment goals.* Assists in accomplishing the program’s non-federal match through the access of community resources (services, donations, discounts, and/or goods). Assist with the calculations of the non-federal match numbers and entry into the spread sheet.* Other duties as assigned within the scope of the position.QUALIFICATIONS:* This position requires a person with administrative skills and has the ability to read, write and understand English. This person should also have basic mathematic skills and the ability to follow written and verbal instructions. Must have the ability to work under pressure and meet schedules. Ability to work with diverse populations, to handle multiple tasks and projects. Availability to work occasionally in the evenings and Saturdays for recruitment.* Creativity, vision, charisma, strong presence, responsiveness, honesty, drive and initiative are all traits that will be highly valued.* Bilingual in Spanish is preferred.EXPERIENCE:* At least three (3) years of paid general clerical experience or graduation from a certified degree program in secretarial sciences may be substituted for three (3) years paid experience.* Proficiency in Microsoft Operating Systems and the following software programs (Word, Excel, Access, or other database program). Previous experience with ChildPlus Database is preferred.* Ability to adhere to schedules and work independently with minimal supervision.* Ability to demonstrate competencies in standard office practices and procedures, including operating modern office equipment.EDUCATION:* High School graduate or GED equivalent. Additional year of experience may be substituted for required education.LICENSE/CREDENTIAL/PERMIT:* Valid California Driver’s License and access to an automobile with proof of auto insurance* Must pass Department of Justice background check prior to start of employmentPHYSICAL DEMANDS:The working conditions and physical demands of this position will be those that must be met to successfully perform the essential duties of the position. The physical environment the incumbent will work in is typically an office environment with moderate noise levels that would be expected in that type of work environment.* Representative physical demands of the job include: normal vision and hearing, standing for extended periods, sitting for extended periods, kneeling and stooping, manipulating objects with hands, reaching overhead, and occasionally lifting and carrying objects weighing up to 25 pounds.* T.B.
