Office Assistant Job Description

Office Assistant is responsible for supporting Program Coordinator with the day-to-day business operations of the school office.

Promote and maintain a positive and effective school climate by ensuring that all interactions with staff, students, parents, and the public at large are prompt, efficient, helpful and friendly.

Occasionally care for ill or injured students; while developing multitasking skills.

Office Environment:

Will experience frequent interruptions; requiring visual concentration on detail, skillfulness & carefulness.

Requires dealing with upset or angry parents and students.

Office Operating Hours: 7:30 am
– 4:30 pm

Performs General Front Office Duties
Answering phone calls
Retrieving messages & forwarding to appropriate personnel
Responding to inquiries from internal and external parties (staff, parents, students, vendors & general public, etc.)
Supervises students who come into the office; monitors student behavior.
Welcoming onsite visitors (determining nature of business and directing them to appropriate personnel)

Greeting Parents, Students, Personal, Visitors
Promotes positive relations with parents and the general public.

* Monitor incoming emails and answer or forward as required
Assisting with mailings; registration, enrollment, orientation
Making photocopies; sending and receiving faxes; filing of documents/records.
Assisting administration, personal, teaching staff with requests.
Operates and Maintains Office Equipment (Copier, Timestamp, Stamp machine)

Supervise Students (When asked/needed)
Breaks
Before and after-school
Lunches
Administer basic first aid to students
Monitor students referred for illness and injury
Maintaining a safe and secure office space
Coordinates and Maintains Student Files
Organizes and files student documents (emergency card, student policies, etc.)
Providing up-to-date information and references
Maintain logs, files and records: post records.
Sort, alphabetize and file materials
Compiles information and generate reports and lists as directed.
Communicates Effectively
Advocates for colleagues professionally when necessary
