The Role

The Role

 

The Office Assistant is responsible for tax return filing administration and management, client billings, file maintenance, and administrative support for tax professionals.  The Office Assistant reports directly to the LA Operations Manager. 

 

Primary Responsibilities/Essential Functions:
Tax return filing administration and management:
Manage due date list for tax return filings and coordinate tracking of return status.
Scan, package and electronically transmit tax filings to clients.
Prepare client job arrangement letters and package client organizers for transmittal.
Update spreadsheets or databases to assist in the tracking of information.
Client billings:
Organize client billing detail monthly.
Prepare client invoices, track payments, and send payment reminders.
File maintenance:
Maintain physical and electronic files on a current basis.
Administrative support for tax professionals:
Perform other administrative duties, including word processing, scanning, organizing work areas, stocking supplies, coordinating meetings and completing ad hoc projects.
Assist with input and follow up of expense reports

The Requirements
At least 2-5 years administrative experience supporting multiple executives.
Strong attention to detail.
Ability to handle multiple tasks in a high pressure, deadline-oriented environment.
Ability to work independently as well as part of a cross-functional team.
Solid communication and interpersonal skills.
Professional demeanor and pleasant phone manner.
Ability to work with minimal supervision.
Flexibility in responding to changes.
Excellent skills in MS Office-Word, Excel and PowerPoint.
Must be willing to go into the LA office daily.

Additional responsibilities include backup coverage for Reception, sending and receiving FedEx packages, USPS mailings, mailroom services, stocking kitchen supplies and the ability to lift 50 lb.
