Office Assistant

The Office Assistant is a position in our growing law firm.

The Office Assistant will assist a managing attorney with scheduling, calls, distribution of work throughout the office, client communication, and translating, when necessary.

The Office Assistant will also assist all office staff with data entry, drafting cover letters, compiling filings and serving government agencies.

The Office Assistant will report to the Managing Attorneys.

ESSENTIAL JOB DUTIES

· Communication with clients

· Organize attorney workflow

· Assist attorney in maintaining schedule

· Communicate deadlines and work assignments to staff

· Gather information and documents from clients

· File documents away as they are received

· Copy and prepare filings to be submitted

· Draft cover letters and letters to clients

· Perform other duties as assigned.

EXPERIENCE, KNOWLEDGE, SKILLS, AND ABILITIES

The following are the minimum levels required to successfully perform the essential job duties and responsibilities.

· Two-year degree required, with four-year degree preferred

· Advanced Spanish language required.

· 1-2 years of direct services experience preferred.

· Ability to quickly learn government procedures.

· Working knowledge of Microsoft Word, Adobe Acrobat, and Microsoft Excel

· Ability to quickly learn new computer programs and tools

· Excellent written, analytical, oral, organizational and time management skills.

· Well-organized, efficient, highly motivated, able to work well under pressure, and able to work independently.

· Demonstrated commitment to immigrant rights and social justice.

· Experience working with people from diverse backgrounds, including low-income populations, people who are marginally housed, immigrants, LGBTQ individuals, people of color and/or persons with disabilities.

WORKING CONDITIONS

Environment and Physical Requirements:

The Office Assistant works primarily in an office environment; however, the position may require travel to locations in Los Angeles County from time to time.

The Office Assistant sits for extended periods of the workday, but also stands, walks, bends, lifts, and moves intermittently during working hours.

The applicant must be able to lift, push, pull and move files and document in excess of 10 pounds.

Hours:

The Office Assistant works a full-time schedule of not less than 40 hours a week at the Managing Attorney’s discretion based on business need.

The Office Assistant may be required to work extended hours based on fluctuating workloads.

The position is non-exempt.
