Office Administrator

The Office Administrator shall exercise discretion and independent judgment to provide administrative support to the Senior Managing Partner, ancillary support to COO and to general firm business operations.

Duties and Responsibilities

· Support Senior Managing Partner:

o Manage calendar in Outlook, including scheduling meetings, coordinating attendee availability, and managing conference call details

o Manage emails, including responding to messages as appropriate and prioritizing critical matters

o Maintain mailing lists and contact information and send correspondence as needed

o Provide general administrative assistance to COO, CFO and office:

· Manage in-office business operations, including acting as liaison to building management, performing reception duties and being the first point of contact to internally and externally, ordering and maintaining all supplies and marketing collateral, and communicating with staff on all office related matters

· Coordinate firm conference lines and Zoom accounts, mail and UPS

· Provide general human resources support, including coordinating interviews, new employee onboarding and maintaining files

· Coordinate with vendors and process invoices and expense reports

· Coordinate employee and client events

Skills and Qualifications

· Degree from accredited 4-year college or university

· Strong computer skills, particularly in Microsoft Office

· Excellent verbal and written communication and interpersonal skills

· Effective time management, including ability to meet deadlines

· Self-starter with strong organizational skills, ability to multitask, and attention to detail

· Ability to evaluate, prioritize and escalate information and exercise appropriate discretion

Job Type: Full-time

Pay: $80,000.00
– $100,000.00 per year
