We are currently seeking a Docketing Coordinator in our Client Value and Practice Management department, reporting directly to the Senior Firmwide Docketing Manager.
The role can reside in either the Los Angeles or San Francisco office and will be responsible for ensuring the timely and accurate delivery of centralized litigation calendaring services firmwide and responsible for assisting with E-filing in State and Federal Courts (Nationwide Courts). Our docketing team members are critical players in making sure the firm stays on top of deadlines in our Advocacy Practice operations. This position must be able to work in a friendly, collaborative, fast-paced environment. The Docketing Coordinator must fulfill the needs of the firm in a manner, which is consistent with the Firm’s Core Values, whilst maintaining an atmosphere of teamwork and continuous improvement.
Key responsibilities of this position include:
- Review filing notices and documents and enter/calculate corresponding calendar deadlines in firm’s Centralized Docketing Database (Court Alert).
- Oversee the timely completion of requests in regional docketing inboxes, ensure service coverage across regions.
- Research court rules pertaining to deadlines and respond to associated inquiries, keep current with court rule updates.
- Monitor and respond to requests sent to firmwide docketing inboxes.
- Provide training to team on docketing procedures in the jurisdiction(s) of expertise.
- Conduct court rules research to quality check docket entries.
- Ensure integrity of data in calendaring software.
- Participate in evaluation, implementation and testing of current and new systems.
- Assist with E-filing in California State and Federal Courts, as well as Nationwide Courts.
- Evaluate papers for E-filing to ensure they meet the court filing criteria and local protocols, facilitate filing.
- Respond to calls, emails and maintain the docketing inbox.
- Participate in regular department meetings.
- Assist Docket Clerks/Coordinators in other firm offices and provide coverage, as necessary.
- Perform other tasks as requested by the Senior Firmwide Docketing Manager.
Qualifications (Experience, Knowledge, Skills & Abilities):
- Bachelor’s degree preferred.
- Minimum of five years of docketing experience required.
- Electronic filing experience preferred.
- Proficiency with calendaring software (Court Alert, not necessary).
- Thorough knowledge of California federal, state and local court locations, rules, procedures and pleadings.
- Aptitude for and willingness to work with complex procedures.
- Must possess the ability to prioritize and handle multiple tasks under pressure.
- Excellent oral and written communication skills.
- Strong attention to detail, organizational and filing skills.
- Working knowledge of applications including Word, Excel and Outlook.
- Ability to work independently or in a team setting, take initiative, set priorities and see projects through completion.
- Demonstrate ability to maintain high ethical standards and strict confidentiality of firm and client information.
