Legal SecretaryThis position provides administrative and secretarial support for multiple attorneys within the Los Angeles Claims Legal Department, utilizing knowledge of legal procedures and terminology.
The person in this position must be able to work in a high-volume environment which stresses a high degree of productivity.
Primary responsibility is the preparation, review and processing of various legal pleadings and correspondence plus managing the legal calendar for multiple attorneysResponsibilities:Prepare, in compliance with court rules, legal documents relating to legal matters.Documents may include but are not limited to: summons, complaints, motions, notices, court forms, pleadings, and legal opinions.Create and proofread legal documents, reports, and letters utilizing legal software applications and by following marginal notes and attorney instructions.Input into case management system all data contained in the legal file such as correspondence, notices, legal documents, billing, and expenditures.Make necessary corrections, update information, and respond to inquiries.Manage attorney calendar(s) by scheduling and confirming appointments and court appearances.
Resolve calendar conflicts when necessary.File correspondence and legal documents in compliance with law office standards.Maintain and monitor a comprehensive diary system for litigated files to ensure compliance with statutory requirements.Process all mail in compliance with law firm standards.Maintain technical files and records including comprehensive and detailed documentation.
Prepare reports and payment drafts.Qualifications:High School diploma, GED, or equivalent certificate required.
Post-secondary business program preferred.Minimum of three to five years related secretarial and/or legal experience required.
Experience using accepted legal support and office organization practices.Minimum typing speed of 55
– 60 corrected words per minute preferred.Moderate ability to express ideas clearly, effectively, and persuasively required
– both orally and in writing.Advanced experience with personal computer and other office equipment required.
