Legal Secretary

Ballard Spahr LLP has an excellent opportunity for an experienced legal administrative assistant (legal secretary) with demonstrated litigation, technical and administrative skills to work in the Los Angeles office. The selected individual will support attorneys in both the Transactional and Litigation practice groups by maintaining and processing case information, managing the progression of cases to final disposition, creating electronic files, preparing and processing correspondence, memoranda and complex legal documents, and performing other administrative functions.

Responsibilities include preparing documents for state and federal court filings, including discovery requests and responses, letters, pleadings, motions and documents, as well as e-filing in various state and federal courts, both trial and appellate. Transactional and Administrative duties include using DocuSign, creating signature blocks, assisting in transaction closings, scheduling meetings and appointments, maintaining attorney calendars and contact information, new client intake, file maintenance utilizing the firm’s electronic records management system, and travel coordination and expense reimbursement.

Qualified applicants will be highly motivated, possess strong communication, organizational, and client service skills and be able to multi-task. Top-notch accuracy, spelling, grammar and proofreading skills are necessary. The ability to work co-operatively in a team environment to meet deadlines is required. A willingness to take innovative approaches to administrative support is required. We emphasize a team approach to attorney support and the successful candidate should be flexible and able to also assist an attorney in the transactional practices if necessary.

This position requires a minimum of 5 years of general litigation experience and a high degree of proficiency with Microsoft Office, including Word, Excel and Outlook. Experience supporting attorneys in complex litigation is required. Experience with e-filing, document management and time and billing systems is required (FileSite and Elite experience is a plus).
