HOURS: 9:00 AM
– 6:00 PM *The office is currently remote

BACHELOR’S DEGREE: Required

Our client, a leading urban office REITs (Real Estate Investment Trust), is seeking a Legal Administrative Assistant for their corporate headquarters in Pasadena, CA.

This individual will be primarily responsible in assisting the legal department with contract management and filing, with responsibility for all aspects of electronic and hard copy records management for the legal department.

The ideal candidate will possess a legal background and have a general understanding of corporate or real estate transactions.

RESPONSIBILITIES OF LEGAL ADMINISTRATIVE ASSISTANT:

– Create files and folders, including tabbing/indexing of documents

– Organize, manage, and maintain all legal records, including, but not limited to hard copy and electronic filing of legal documents and email, and processing files for off-site storage

– Assist with the processing, execution, and distribution of leases, contracts and other legal documents

– Track contract status and maintain various tracking databases

– Handle other confidential tasks and participate in various projects, as assigned

– Assist the transactions team as needed with the following:
Indexing due diligence materials Preparing closing binders Other confidential tasks, as assigned

REQUIREMENTS OF LEGAL ADMINISTRATIVE ASSISTANT:

– Bachelor’s degree required

– 2+ years administrative support experience

– General understanding of legal administration or office filing, preferred

– Strong verbal and written communication skills

– Ability to interact with all levels including, but not limited to, senior management and outside counsel

– Strong Microsoft Office skills a must (Outlook, Word, and Excel)

– Familiarity and proficiency with DocuSign, preferred

– Team-oriented, highly motivated, and can-do attitude

– Ability to follow direction from professional staff

– Strong attention to detail

– Strong organizational skills, time management and prioritization skills

– Experience with high volumes of work

– Verification of identity, education, prior employment, and references may be required
