Who we need Reporting to the Installation Manager, the Installation Coordinator ensures all project installs are on schedule , within budget and communicated on daily.
This position is in a fast-paced environment where the candidate must be able to execute with a sense of urgency to fulfill client and installer needs.
You will: Work with Installation manager to review capacity and schedule installers to specific jobs on the installation calendar Manage Hotel/Airfare bookings and report credit card expenses each month Work with Finance to issue installer POs as well as payments upon project completion Monitor project issues and provide punch item communication to the facility.
Update project Post punch items document, track production completion and schedule installer return visits.
Interact with Installer via phone and email on high priority issues.
Work with internal teams such as Production, Logistics, Engineering, Design, Project Management, and Array Asia, find creative solutions for fixing issues identified by Installer.
Confer with Installation Manager and various subject matter experts to obtain technical advice and resolve challenges in an efficient manner.
Obtain shipping cost information and make shipping decisions on a case-by-case basis.
Update client on status of upcoming deliveries or fixes.
Coordinate fixes for multiple issues at once, staying organized and tracking tasks through to close.
Identify patterns in issues, research root cause, and implement improvements to mitigate going forward.
Provide positive customer service and supports the maintenance of effective client relations.
Attend daily and weekly operations meetings.
Prepare and update daily reports to both internal and external stakeholders.
You have: Bachelor’s degree (B.
A.) or College diploma in a relevant discipline (Technical discipline); and three years related experience and/or training; or equivalent combination of education and experience.
Intermediate to advanced knowledge of MS Office; Must be able to work effectively within MS Excel including understanding formulas such as VLOOKUP.
Strong customer service skills and ability to create and maintain positive internal and external relationships.
High attention to detail.
Excellent communication skills both verbal and written.
Exceptional planning, time-management, organizational and follow-through skills.
A Process improvement mindset An ability to effectively facilitate communications.
An ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
An ability to conduct evaluations, assessments, and analysis of new projects.
Some travel may be required.
