Position Summary:

The California Endowment (TCE) is seeking a full-time Intake Coordinator to join the Grant Operations Department. This position requires a high level of attention to detail and a commitment to quality assurance and the mission and values of TCE. The Intake Coordinator is responsible for processing all incoming grant and contract requests and performs administrative support and clerical duties that require accuracy, independent analysis, strong editing/proofreading ability, legal acumen, and knowledge of department functions.

The Intake Coordinator is responsible for high-quality work with attention to detail and accuracy, maintaining excellent rapport with internal staff, applicants, grantees and partners, and a commitment to database integrity.

Position Responsibilities:

  • Performs initial due diligence review of incoming requests for all funding programs, including ensuring all proposal titles, descriptions and initial coding are accurate and align with TCE’s protocols
  • Manages and maintains Conflict of Interest updates, including entering disclosable relationships into the grants management system (GMS)
  • Oversees the pre-grant legal entity review and tax status eligibility review
  • Works with the Grant Operations Manager to ensure policies and procedures are upheld
  • Develops and maintains effective Intake workflows, including procedures and processes
  • Assists with functions related to online reporting and electronic grant payments
  • Assists with the maintenance of GMS to ensure data integrity, including ongoing system testing, updating organization and contact information, and conducting routine data cleanup
  • Delivers technical assistance to internal staff, applicants and grantees related to applications and online grant reporting inquiries
  • Performs administrative support, general clerical duties and special projects as assigned
  • Other duties and responsibilities may be assigned.

Qualifications:

  • Proactive and able to self-manage, respect protocols, prioritize work assignments, and adhere to multiple deadlines, experience working at an organization with significant volume of grant activity preferred
  • Excellent oral and written communications skills, specifically strong grammar, spelling, proofreading and punctuation
  • Experience utilizing a grants management system as well as various online information research resources and data management tools
  • Detailed knowledge of and demonstrated proficiency in the use of office computer applications, including Microsoft Outlook, WebEx, Adobe Acrobat, Word, Excel and PowerPoint
  • High attention to protocol and detail with exceptional organization and follow-through skills
  • Proven abilities in analytical, database and reporting skills
  • Commitment to TCE’s mission and core values
  • Integrity, respect, professionalism, and a demonstrated capacity for self-reflection
  • Discretion and ability to handle confidential issues

Minimum Education:

Bachelor’s Degree or equivalent experience.

Minimum Experience:

Two years administrative support experience, preferably in grant operations, nonprofit or related institution.
